Summary:Responsible for monitoring the patient schedule, performing secretarial duties and scheduling and maintaining patient appointments by performing the following duties.

Duties and Responsibilitiesinclude the following. Other duties may be assigned.

  • Greet patients upon arrival and assure patient is signed in and then checked into the EHR.*
  • Answer multi-line telephone system, take accurate messages, and screen and direct telephone calls for management in a professional manner. *
  • Schedule, cancel and reschedule patient appointments for routine office visits, consultations, treatments and follow-ups using computer system according to the type of appointment.*
  • Provide patients with accurate and legible appointment cards. *
  • Assist patients with scheduling appointments by applying knowledge of office operations and medical procedures. *
  • Ensure appointment hours are filled in accordance with appointment scheduling guidelines. *
  • Confirm appointments and follow-up with patients regarding missed appointments via telephone.*
  • Acquire necessary medical records and documents for patient charts by communicating via telephone, facsimile machine or personal contact with other medical facilities, hospitals or office personnel. *
  • Enter necessary changes on computer to update information prior to printing daily schedules. *
  • Retrieve and scan records in accordance with daily schedules. *
  • Review patient schedule weekly, and update information as needed. *
  • Organize and enter patient data in EHR for quick retrieval of information. *
  • Combine new patient records and charts, and maintain up-to-date patient records as required.
  • Contacts insurance companies regarding pre-certifications and benefits for proper documentation as needed when scheduling. Discusses with patient the cost of procedure and expected amount patient will be responsible for.*
  • Collects and posts charges and payments according to protocols, prepares and balances daily financial registers.*
  • Photocopy and file all related billing statements and documentation as assigned.*
  • Maintain a petty cash fund with the proper documentation, make change as needed and balance on a regular basis.*
  • Opens the building at the designated time each day, ensures the readiness of the reception area, and ensures that the front desk activities are fully operational at the start of business hours. *
  • Prepare surgical paperwork promptly, and ensure paperwork is submitted to appropriate individuals and institutions as required. *
  • Responsible for verifying insurance coverage for corresponding referral/surgery.*
  • Schedules special outside testing through appropriate facility ensuring proper documentation is faxed to facility with correct codes included. Ensures patient is informed of time and place of appointment with necessary documentation with them. Checks if pre-certification or referral is required for testing (MRI, CT scans, SED Rates, Lab Work). Writes on board and holds chart to ensure Physician reviews results when scheduling tests.*
  • Responsible for sending the appropriate referral/surgery documentation to the correct provider using EHR.*
  • Follows up on referrals/surgery.*
  • Verifies appointments and corresponding documentation is attached to close out referrals/surgery.*
  • Ensures super bills are submitted in a timely and compliant manner to the billing company.*
  • Participates in staff and educational meetings. *
  • Ensures compliance with established policies and procedures, paying special attention to state, federal, state and HIPPA regulations.*

Qualifications:

Education/Experience:

High school diploma or general education degree (GED); and 2 years related experience and/or training; or equivalent combination of education and experience.

Language Ability:

Ability to read and comprehend simple instructions, short correspondence, and memos. Ability to write simple correspondence. Ability to effectively present information in one-on-one and small group situations to customers, clients, and other employees of the organization.

Math Ability:

Ability to add and subtract two digit numbers and to multiply and divide with 10's and 100's. Ability to perform these operations using units of American money and weight measurement, volume, and distance.

Reasoning Ability:

Ability to solve practical problems and deal with a variety of concrete variables in situations where only limited standardization exists. Ability to interpret a variety of instructions furnished in written, oral, diagram, or schedule form.

Computer Skills:

To perform this job successfully, an individual should have knowledge of word processing; time keeping software; spreadsheet; internet searches; email; organizing/scheduling software ie MS outlook or computer based calendar and (EHR) Electronic Health Records.
