We are currently seeking a 1834 Investment Advisor Client Service Specialist that will be responsible for providing administrative and operational support to managers and 1834 Investment Advisors staff as assigned. This role performs a variety of moderately complex to complex, diverse, sensitive, and confidential administrative functions while providing overall information support. The incumbent also serves as a first point of contact for clients, vendors, and others visiting the office location.

Key Accountabilities

Organizational and Administrative Support

  • Receive and service clients/visitors by greeting, welcoming, and directing them appropriately; notifies appropriate parties of client/visitor arrival.
  • Coordinate office hoteling space for internal and external visitors.
  • Respond to incoming calls on 1834 mainline and inquiries from clients/visitors; directs or refers inquiries to other parties as needed.
  • Serve as property liaison with property management company and other corporate departments.
  • Manage incoming mail and documents while ensuring timely handling of sensitive documents and information.
  • Coordinate internal and external meetings including but not limited to confirming meetings/appointments, reserving meeting space, preparing meeting space with audio-visual technology as needed. May participate in meetings as assigned (take minutes, prepare meeting booklets, maintain records.)
  • Arrange corporate travel including developing itineraries and agendas, arranging transportation, lodging, and meeting accommodations.
  • May support assigned leaders with onboarding/offboarding of team members and/or temporary/contract workers, coordination of interview schedules, building tours, etc.
  • Create, edit, and format documents using Microsoft Office and Adobe.
  • May assist in managing shared sites such as Microsoft Teams, SharePoint, and other collaborative sites.
  • Assist on ad hoc projects and provide backup coverage for other administrative assistants, as needed.
  • Assist with scheduling, planning, and organizing internal and community events and meetings, including event invitation, conference room reservations, multimedia support, catering requests, etc.
  • Maintains office organization and supplies.

Client Servicing and Operations

  • Meet regularly with RIA operations staff to prioritize workload, provide timely updates on client service items, and escalate potential issues when appropriate.
  • Assist with specific operational related tasks and collaborates with operations leadership team on projects and/or initiatives designed to streamline firm policies and procedures.
  • Acts as liaison to Operations and 1834 Investment Advisors staff, understanding client, department, and organizational priorities.
  • Respond to client requests via phone, email and/or other contact methods, as directed.
  • Complete service requests and resolve client issues, as directed.
  • Assist with client updates, reports, mailings, as directed.

Qualifications and Education Requirements

  • High School diploma or GED Equivalent; Associates Degree in Administrative Services/Business preferred.
  • Minimum three years of administrative and/or banking experience preferred.
  • Strong working knowledge of Microsoft Word, Excel, PowerPoint, Outlook, and Video Conference software
  • Effective communication and organizational skills
  • Must be able to multitask and manage changing priorities and deadlines.
  • Ability to ensure proper management of confidential information.
