Position Summary The Assistant to the Athletics Directors (ADs) supports the ADs by managing athletics-related communication, updating bulletin boards, social media, handling athlete registration, rosters, and awards. This role also includes assisting with budget requests, calendar management, and building/space use forms. The Assistant takes initiative to ensure the smooth daily operation of the Athletics Department. Primary Job Responsibilities
Facilitate effective external and internal communication between members of the athletic department and the school community, including parents, faculty, and staff
Compose and dispatch written materials that may include letters, programs, forms, and flyers
Keep the Parent Portal and school website current with all required athletic forms, schedules, directions, and other important parent-facing information for each Upper School sport
Communicate with coaches and parents regarding required student athletic forms and on-line Aktivate registration
Maintain record of required Rowland Hall and UHSAA athletic forms and serve as primary point of contact for parents with questions and support needs related to signing up for sports
Design and maintain athletic information bulletin boards (physical and virtual) taking point on social media postings under the guidance of the marketing department and in conjunction with coaches and team captains
Perform scholastic eligibility checks on all Upper School athletes prior to each sports season and submit athletic eligibility and roster for each Upper School sport to the UHSAA
Maintain current athletic schedules including directions to away contest sites, as well as the permanent record of end of season summaries for each Upper School athletic team, including team and personal records, letter winners, and awards.
Track and prepare Academic All-State nomination forms each sports season, as well as certificates for Academic and Athletic All-Region, participation, and letter winners.
Maintain inventory of equipment and uniform items for each Upper School sport
Assist in organization of Upper School Pack the Bleachers and Middle School Fan Appreciation
Prepare and submit building/space use forms for athletic events as needed
Prepare and submit maintenance request forms as requested
Assist the upper school main office team with reception coverage if/when time permits
Work extra hours during busy seasons to assist with athletic events
Other special projects and tasks as assigned

Excellent computer skills and ease with learning new databases, software applications, and management systems (we use Finalsite, Veracross, Canvas, and Google Suite)
Aptitude for operating school office equipment (multi-phone lines, copy machine, FAX, laminator, etc.)
Dependable team player with the ability to maintain good boundaries
Demonstrates cultural competency, both internally and with prospective families and community partners
Demonstrates respect for confidentiality issues arising in the school community

Additional Information This is a part-time, 10-month (June/July and school breaks slow down), non-exempt position, reporting to the Director of Athletics. The anticipated start date is as soon as possible.
