Job Summary:
This position is responsible for developing and monitoring programs and practices that support the achievement of departmental goals. The Manager of Administrative Support will have the accountability for the organization and management of assigned department responsibilities. This includes management of staff or a function in research, academic, and general administration, and financial and/or budgetary activities. Exemplifies the Rush mission, vision and values and acts in accordance with Rush policies and procedures.
Job Responsibilities:
Management and administration of departmental or section processes. May include residency and fellowship program facilitation, on-boarding, credentialing, coordination of departmental re-credentialing and promotion activities, and orientation for faculty, staff, and/or fellows. May also include responsibility for management of a non-clinical area within a department.
Works closely with leaders in the department or section, which may include participation in strategic planning, project management, philanthropic initiatives, or marketing initiatives.
Approve and/or review expenditures, staff change notices, travel vouchers, work orders for outside contractors, etc., allocating expenditures to appropriate accounts.
May assist with the preparation of educational conferences and publications.
Responsible for the training and orientation of support personnel including maintaining files for employees, identifying and reporting assessment of staff needs.
May supervise staff and provide input for performance evaluations.
Assures the smooth operation of the area, serving as a resource and problem solver, overseeing and ordering and processing of supplies, equipment, maintenance, and work orders. Routes paperwork through necessary channels; provides follow-up as needed.
Improve the efficient functioning of the department. Participate in regular staff meetings to offer input and identify problems or opportunities within the area. Collaborates to identify problems and participates in the formulation and implementation of appropriate solutions.
Works cooperatively in a team environment.
Develops statistical reports.
Establish and manage a database: collate data and provide management/integrity assurance.
Required Job Qualifications:
High School Diploma OR GED.
Three years of business or healthcare experience.
Experience in a lead or supervisory role.
Ability to manage multiple concurrent projects.
Good organizational skills.
Good interpersonal skills.
Very good written and oral communication skills.
Attention to detail and accuracy.
Proficient in basic Microsoft programs.
Ability to implement change and maintain results.
Ability to prioritize and multi-task in a fast-paced environment.
Open-mindedness and willingness to adjust to change.
Demonstrates ability to work cooperatively in a team environment.
Preferred Job Qualifications:
Associates or Bachelor's degree.
