S & S Management Services, Inc. is Hiring an Administrative Assistant Near Bloomfield, CT

About Us: We are seeking a highly motivated and organized Administrative Assistants to join our team in supporting associations in various industries. Our associations are dedicated to promoting excellence in their respective fields and providing valuable resources to their members. As an Administrative Assistant, you will play a crucial role in maintaining the efficiency of our day-to-day operations and ensuring our members' needs are met.

Key Responsibilities:

1. Member Management:

  • Maintain accurate and up-to-date member databases for each association.
  • Assist with member inquiries, renewals, and promote membership options to potential new members.
  • Help coordinate monthly Board Meeting and promote member events.

2. Email Marketing:

  • Collaborate with association staff to create and send email campaigns.
  • Monitor email campaign performance.
  • Segment and target email communications to different member groups and ensure contact lists are continually up-to-date.

3. Social Media Content Creation:

  • Develop engaging content to be posted on various social media platforms.
  • Create visually appealing graphics and images to support social media campaigns.

4. Communication:

  • Communicate with association members, sponsors, and vendors via phone and email as needed.
  • Provide exceptional customer service and promptly address inquiries and requests.

5. Program Coordination: Depending on client assignment, program coordination may include:

CME Product Sales Support:

  • Promote and sell an association-owned Continuing Medical Education (CME) product.
  • Handle phone/online orders, inquiries, and provide product information to potential customers.
  • Manage order fulfillment and ensure timely delivery to customers.

OR

Office Anesthesia Evaluation Certification Program Management

  • Track and generate necessary notifications to individuals up for renewal.
  • Coordinate assignments, communication and follow-up for initial office evaluations.
  • Liaise with the CT Department of Public Health

6. Multitasking:

  • Handle multiple tasks and switch directions frequently while maintaining a high level of accuracy and attention to detail while understanding key priorities of the tasks at hand.

Qualifications:

  • Previous experience in administrative or customer support roles preferred.
  • Strong organizational and time management skills.
  • Proficiency in Microsoft Office Suite and familiarity with email marketing software (e.g., Constant Contact).
  • Basic graphic design skills and experience with social media platforms (Canva, LinkedIn & Facebook).
  • Excellent verbal and written communication skills.
  • Comfortable talking to people over the phone and via email.
  • Self-motivated and able to work independently as well as part of a team.
  • Ability to adapt to changing priorities and handle multiple tasks simultaneously.
