Job Overview:We are seeking a dedicated and professional Account Manager/Patient Advocate to join our team. In this role, you will be the primary point of contact for parents and guardians of children with developmental disabilities. You will help them navigate the process of receiving their required medical supplies each month, ensuring they get the correct products in a timely manner. This position is not just about providing a service; it’s about making a meaningful impact on the lives of hundreds of children every day.
Key Responsibilities:
  • Customer Interaction:
  • Contact parents/guardians to discuss their child’s medical supply needs.
  • Provide clear, empathetic communication to assist with product selection and insurance coverage.
  • Follow up with families to ensure satisfaction and address any concerns or issues.
  • Order Management
  • Complete order forms, determine charges and coverage, collect co-pays, and input data into the information system. Manage and mail delivery tickets.
  • Address billing or service complaints and refer service failures to the appropriate departments for investigation.
  • Administrative Duties:
  • Scan, file, and create patient records
  • Maintain Excel spreadsheets for orders and patient status.
  • Utilize Customer Relationship Management (CRM) software to maintain accurate records.
  • Ensure compliance with all relevant policies, regulations, and DMEPOS (Durable Medical Equipment, Prosthetics, Orthotics, and Supplies) standards.
  • Team Collaboration:
  • Work closely with the other departments and teams to coordinate timely delivery of supplies.
  • Participate in team meetings and training sessions (including e-training) to stay updated on products, procedures, and compliance.
  • Additional Tasks:
  • Assist with billing and documentation required for insurance claims.
  • Contribute to process improvements to enhance customer service efficiency.
Qualifications:
  • Education:
  • High school diploma or GED required.
  • Associate’s degree or higher preferred.
  • Experience:
  • Previous experience in customer service, preferably in a medical or healthcare setting.
  • Familiarity with DMEPOS regulations is a plus.
  • Skills:
  • Strong oral and written communication and interpersonal skills.
  • Proficiency in Microsoft Office Suite (Excel, Word, etc.) and CRM software (preferably Monday.com).
  • Excellent organizational skills and attention to detail.
  • Ability to handle sensitive information with confidentiality and professionalism.
  • Ability to quickly learn departmental programs, policies, and procedures.
  • Proficiency in basic math and algebra for practical tasks such as calculating figures, discounts, interest, and percentages.
