Job Description
1. Occupational Summary (Position Objective & Authorities)
Objective :
The procurement clerk will assist the buyers in actions such as; coordinating the process of purchase documentation, maintaining vendor information, tracking purchase orders, researching delivery and receipt status.
Works under close supervision.
Authorities :
This position has the authority to resolve vendor receipts, invoices and returns.
1. Essential Functions (Duties and Responsibilities)
Main Function Responsibilities
A) Assists in processing a variety of telephone and written requisitions to obtain supplies, materials and equipment.
B) Assists buyers with delinquent orders and requests supplier delivery information.
C) Maintains department employee training records
D) Facilities vendor return transactions in conjunction with the buyer.
E) Supplies vendors with blue print, WPS and WA information as revisions are received.
F) Verifies invoice discrepancies from suppliers against purchase orders and inventory transactions.
Job Requirements
1. Qualification Requirements
A. Education & Qualification : High School Diploma or equivalent
B. Work Experience - Technical knowledge : 1 year of related clerical experience required. Proficient with Microsoft Office Suite, including Word, Excel, and PowerPoint.
C. Professional Skills : Must have the ability to generate written communication and to operate required office equipment.
Ability to read and review written communication. Speech and hearing abilities that allow individual to communicate clearly and distinctly in English. Ability to solve problems.
D. Behavioral Skills : Ability to convince, Ability to take initiative, Accept responsibility, Adaptability-flexibility, Autonomy, Availability for others, Building Relationships, Creativity, Perseverance, Precise, Self-confidence, Self-motivation.
Comfortable with ambiguity and limited instruction. Must have the ability to drive major initiatives. Must be comfortable with multiple tasks.
E. Desirable Aspects : ERP, SAP, Mapics, Powerlink, JD Edwards, Oracle. Aerospace, Automotive, Medical. Bi-Lingual in English and Spanish a plus
Physical Demands
This position requires extended periods of sitting while working with computers and viewing computer monitors and other office equipment.
Finger dexterity needed in using misc. office equipment such as telephone, computer and copy machine, etc. Bending, stooping, reaching, and lifting up to approximately twenty pounds are required during tasks related to the job.
Work environment
The work environment includes office setting with moderate office noise. The work environment will also include work with the receiving dock / inspection / MRB location.
