San Diego State University Research Foundation is Hiring a Remote KPBS Membership Administrator

Overview

The salary range for this position is $21.00 - $25.00 per hour depending upon qualifications and is non-negotiable.

KPBS serves the greater San Diego community with informative, cultural, entertaining and educational television, radio, and web programming. KPBS TV/FM is the public television and radio stations for San Diego. Licensed to San Diego State University, KPBS supports and furthers the university’s educational and community service mission by informing, enlightening and empowering its audience. Responsibilities

The Membership Operations team is responsible for processing approximately $9 million in annual membership and Producer’s Club revenue. Included in that total is the collection of approximately $3 million of on air campaign pledges captured during live campaigns and via the web and the overflow call service provider. 

Overseeing the efficiency and accuracy of KPBS’ day-to-day processes related to membership/fundraising operations, this position is primarily responsible for the processing and accuracy of data uploaded to the station's database of record. This includes quality assurance, uploading and posting files and data entry batches from a variety of sources, addressing error and collision files, pulling reports and other data upload elements. This position may provide support to the \RevCRM Conversion Project Team including assisting with research on data issues in the legacy system and providing status reports on data clean up tasks associated with the project. 

Under the direction of the Membership Operations & Vehicle Donation Program Manager, this position will provide backup support in membership operations to include charge processing and reconciliation of revenue deposits and merchant account fees.

Membership Administration (90%)

  • Ensure daily deposits, manual data entry, adjustments, and other member transactions are processed accurately and in a timely manner. 
  • Work with the accounting to implement and maintain accounting controls and ensure transaction processing services fees (like WorldPay, PayPal etc.) are tracked, shared and documented; reconcile transaction discrepancies as needed.
  • Responsible for Account Data Uploads across various systems; address data quality issues, batch errors and ensure quantities and financial totals balance. 
  • Prepare the GL for the cash, checks and ACH deposits for the Membership and Development department.
  • Coordinate with the department manager on the development and communication of changes to business policies and drafts documentation, as required. 
  • Upload the monthly offline donations to identify matching gift opportunities;deliver forms and instructions to donors.
  • Act as signature authority for matching gift fulfillment.
  • Oversee the efficient and timely responses to member services inquiries, including those inquiries that require account corrections and updates. 
  • Provide monthly and ad hoc reports to the Audience and Member Services department.

Other Duties and Responsibilities as Assigned (10%)

  • Conduct and participate in Membership and KPBS team meetings, including daily department stand-up meetings, all staff meetings, one on one meetings, and others as needed.
  • Serve as backup on key tasks within the department

Qualifications

Knowledge and Abilities

  • General knowledge of accounting and budgetary principles, practices and procedures. 
  • Knowledge of information technology systems and/or applications
  • Knowledge of and demonstrated ability to utilize standard office software programs such as the Microsoft Suite (e.g. Word, Excel, PowerPoint and Outlook) as well as Google products (such as the G-suite)
  • Demonstrated ability to effectively communicate both verbally and in writing
  • Ability to listen, respond and address concerns with positive intent.
  • Ability to prioritize workload, meet deadlines and work effectively under pressure with a high degree of accuracy.
  • Ability to identify administrative inefficiencies and propose solutions to department leadership.
  • Ability to establish and maintain cooperative working relationships with vendors, station staff and other industry professionals.

Minimum Education/ Experience

  • High school diploma, or equivalent work experience in administrative support, business operations, project management or other related fields that may be substituted for the required education on a year for year basis. 
  • 4-years of progressively responsible experience in an office or administrative environment; administrative support/coordination, operations, accounting support, data processing or equivalent work-related experience.

Preferred Qualifications

  • Previous knowledge of KPBS or public broadcasting is a plus.
  • Knowledge of KPBS and SDSURF business and finance practices and requirements. 
  • Advanced level computer knowledge of requisite systems. Computer literacy and proficiency in both PC and Macintosh platforms. Ability to monitor, analyze and verify data to ensure integrity.

  • Candidates must reside in California, or be willing to relocate, and live within a commutable distance to the SDSU campus at the time of hire.
