San Francisco 49ers is Hiring a Coordinator, Engineering Administration Near Santa Clara, CA

Responsibilities and Duties:

  • Responsible for the management of the CMMS work order system by coordinating, documenting, and scheduling preventative maintenance programs, maintenance issues, and repairs.
  • Monitors and assures completion of work orders assigned and hourly employee timecard information.
  • Orders parts, tools, and supplies for the engineering department. Coordinates procurement as necessary for the timely purchase and delivery of all materials.
  • Coordinates Engineering Purchase Requests with the Procurement Department for the requisition and solicitation of goods and services.
  • Tracks engineering budget expenses and manages and processes department invoices.
  • Assists Engineering staff by scheduling and monitoring building control systems, as necessary.
  • Assists Engineering Department in coordinating contractors and subcontractors to perform required maintenance work and that they adhere to Stadium’s policies and procedures.
  • Ensures that all facility permits, and licenses are appropriately maintained, updated, and renewed.
  • Supports Chief Engineer by producing monthly reports to identify status of timely completion and outstanding work orders.
  • Monitors and maintains a safe working environment through compliance of safety programs.
  • Assists with the documentation and coordination of Capital Expenditure and Construction Projects.
  • Files and maintains contractor and vendor pay applications, prevailing wage documents, COIs and other contract document management systems. Audits contractor and vendor documents to ensure all documents are provided by the contractor and/or vendor. Ensure all files are maintained and easily retrievable. Provides updates on contractor and vendor file status, as required.
  • Files and organizes engineering and construction files, drawings, plans, specifications, reports, and other documents.
  • Assists in the contract request process by circulating documents for signature, tracking contract status, and providing regular updates and reports providing updates and identifying approval progress updates.
  • Creates, edits, and proofreads business communications and documents.
  • Ensures all documents are filed in accordance with the company’s document preservation policies.
  • Coordinates with Stadium Operations staff, Legal, Finance and Procurement Department representatives for contractor record compliance.
  • Supports with CBA required payroll hour time keeping and Employer Reporting of CBA Contributions.
  • Maintains engineering and event schedule.
  • Other duties as assigned.

Required Abilities and Skills:

  • Creative and innovative; the ability to see alternatives and solutions.
  • Communicates orally and in writing in a clear, concise and impartial manner.

Education and Experience:

  • Bachelor’s degree or equivalent degree and at least 2-4 years’ relevant work experience; or an equivalent combination of education and experience.
  • Experience using Microsoft Suite, DocuSign, Adobe Acrobat, OneDrive, Egnyte (or similar) software.
