Pay Range: The pay for this role is $30 per hour

Actual base pay will be determined based on permissible factors such as transferable skills, work experience, market demands and primary work location. The base pay range provided is subject to change and may be modified in the future.

Position Overview

The Sharks Foundation Program Revenue & Administration Coordinator will oversee the operations of the 50/50 Raffle and Mystery Pucks and support the Goals for Kids Program. This position will also assist with Sharks Foundation business and operations.

Essential Duties and Responsibilities:

Oversee the operations of the 50/50 raffle program (50% of job responsibilities)

  • Run the 50/50 Raffle in accordance with California State Laws and goals set by the Sharks Foundation. The 50/50 Raffle will take place at every Sharks home game, where one lucky winner will receive 50% of the total raffle ticket sales and the Sharks Foundation will receive the other 50% to support local charitable organizations. This individual must be willing to help create and execute 50/50 raffle techniques that fit within the parameter of the resources provided and assist with the hiring and training of 50/50 raffle ticket sellers.
  • Manage all raffles at San Jose Sharks homes games-including nights, weekends and holidays
  • Create and maintain budget for program
  • Work in tandem with the Foundation team to ensure fiscal responsibility, develop and maintain reachable goals/objectives and explore new ideas as they relate to Foundation business
  • Hire, assist, train and motivate 50/50 raffle sellers
  • Manage game night staffing and procedures such as scheduling sellers, crafting game notes, and approving timecards for sellers
  • Establish a positive working relationship with all 50/50 raffle vendors and the State of California
  • Submit all necessary paperwork and applications to the State of California
  • Coordinate start and end of game logistics, such as device pick-up and return, drawing the winning number, end of game logs, etc.
  • Demonstrate fiscal responsibility with credit card reconciliation
  • Provide analytical data regarding sales trends, staff achievements and reports of the raffle and adjust to create the most successful raffle outcome
  • Work in collaboration with Sharks Sports & Entertainment departments to ensure the 50/50 raffle gains positive momentum throughout the organization
  • Including executing sponsorship needs, explain how the 50/50 raffle works to other departments, spread knowledge of the 50/50 raffle to fans, etc.
  • Keep inventory of 50/50 supplies and order items from established vendors in a timely manner

Oversee all aspects of Sharks Foundation Mystery Pucks fundraising program (30% of job responsibilities)

  • Create and maintain budget for program
  • Work with Sharks Foundation Assistant - Marketing, Sharks Marketing and Social teams to craft communication efforts surrounding the promotion and sales of Mystery Pucks
  • Setting up Formstack page for online sales of Mystery Pucks; tracking and shipping online sales and communication with online purchasers
  • Manage all aspects of Mystery Puck subscription program
  • Conceptualization of themes and working with Creative department for puck artwork/designs
  • Ordering pucks from established vendor and purchase supplies for sales such as labels, foils, mailers, etc.
  • Manage execution of puck signings including securing volunteers for Mystery Puck set-up and wrapping on team signing days

Support the operations of the Goals for Kids program in tandem with the Sharks Director, Social Impact (10% of job responsibilities)

  • Assist with beneficiary and funding partner communication including quarterly updates and milestones
  • Work with Sharks Foundation Assistant - Marketing, Sharks Marketing and Social teams to craft communication efforts surrounding the program
  • Fulfill and track sponsorship commitments/assets related to program
  • End of Season Celebration game planning

Assist with other Sharks Foundation-related business and operations (10% of job responsibilities)

  • Participate in Community Assist Grant Cycle program annual Grant Review Committee
  • Attend and assist with Sharks Foundation signature fundraising events such as Sampling with the Sharks

Minimum Qualifications

  • Bachelor’s degree (B.A.) from four-year college or university
  • 1-2 years successful non-profit, sports and/or sales experience
  • Available for all Sharks home games
  • Average of 8-hour shifts beginning 3-4 hours prior to game start and end approximately 1 hour after the game ends (typically from 2-10/11 p.m. for a night game)
  • Overtime hours may be required
  • Ability to set-up/push heavy kiosks and walk the Concourse in a timely manner throughout the entire shift
  • Proficient in Microsoft Office (Excel, PowerPoint and Word) and Microsoft Teams - willingness to learn new operating systems and technology as it is released
  • Knowledge of ABI, BUMP 50/50, Netbanx/PaySafe, and/or Workfront a plus
  • Experience overseeing a team of individuals preferred
  • Strong communication skills
  • Demonstrated ability to coordinate and juggle numerous priorities and projects and to meet deadlines without sacrificing effectiveness/quality of work
  • Exceptional time management, problem solving, troubleshooting, organizational and people skills; independent and strategic thinker
  • A strong advocate for process
  • Ability to remain calm and positive under pressure
  • Must have an upbeat, outgoing attitude and outlook on work
  • Clean DMV record and ability to pass a standard background examination
  • Knowledge of the game of hockey, San Jose Sharks athletes, team, Foundations and/or local community is a plus

Physical Requirements

  • Ability to sit, stand and utilize a computer for extended periods of time
  • Communicate via phone and email with a variety of individuals
  • Ability to bend at the waist, reach overhead and lift up to 40 lbs. with or without accommodation
  • Physically navigate stairs and catwalks at SSE facilities during normal work hours and events with or without accommodation
  • Ability to work extended hours including nights, weekends, holidays (all with advance notice)
  • May be required to travel to other company locations
  • May be required to attend conference, events, and training sessions within Bay Area or in- or out-of-state locations.
