SANCTUARY HOUSE is Hiring a Development Coordinator Near Greensboro, NC

Part-Time 20/25 hours per week, hybrid schedule to be negotiated. There will be an expectation of some physical presence at Sanctuary House. Reports to Chief Philanthropy Officer

Overview:

A successful Development Coordinator is a creative and flexible problem solver who has a passion for operations, process, and continuous improvement. In addition, they are customer-service-oriented, self-directed, detail-oriented, and comfortable learning and leveraging technology in their work. 

Responsibilities:

  1. Serves as point of contact for Exceed (donor database), and after training, becomes the person who manages all Exceed protocols.
  2. Develops a standardization for Exceed entries (gifts, name formats, contact reports, any new programs) and training all staff working with Exceed in these formats.
  3. Develops a system for gift entry and handling and trains all staff in this process.
  4. Enters all gifts and pledges in Exceed, including electronic, checks, stock gifts, cash, and bequests.
  5. Is or becomes knowledgeable about the various forms of gifts and pledges, including soft credits, foundations, matching gifts, recurring gifts, planned and realized legacy gifts, etc.
  6. Attends professional development programs (online and in person), working with the Chief Philanthropy Officer to identify opportunities.
  7. Enters and edits all constituent biographical and contact information in Exceed to maintain consistency among records.
  8. Serves as a central staff member in managing the Sanctuary House stewardship plan.
  9. Prepares all gift acknowledgment letters based on the Sanctuary House stewardship plan.
  10. Coordinates all gift thank you letters based on the Sanctuary House stewardship plan.
  11. Prepares end-of-year tax receipts for all donors to be mailed in January.
  12. Assists with the preparation of endowment reports to donors.
  13. Maintains the accuracy, as much as possible, of all data in Exceed Data maintenance, including submitting for regular updates through an outside agency and leading quarterly audits of all gift entries.
  14. Uses software provided to run lists for events, mailings, electronic communications, fundraising reports, or any other external engagement needs.
  15. Maintains birthday list for identified donors, schedules new birthdays on Development Outlook calendar, and assembles birthday cards for signing and mailing.
  16. Provides event support as needed, including managing registration, name tags, assisting with set up, or other assistance as needed. 
  17. Provides stewardship support as needed, including helping coordinate any personal gifts, condolence cards, etc.
  18. Maintain strict confidentiality concerning all donor information.
  19. Work with Sanctuary House staff for any reconciliation with gifts, stock gifts, and account balances.

Preferred Skills and Qualifications:

  1. A passion for changing lives and a willingness and flexibility to learn new things.
  2. Commitment to equity, diversity, and inclusion in all areas of work.
  3. Experience working with Customer Relations Management (CRM) software, Excel, and all Microsoft suite products.
  4. Some experience in the development/fundraising field with a familiarity of gift recording and reporting.
  5. Strong writing and communication skills including writing letters, emails, and phone calls.
  6. Strict attention to detail.
  7. Ability to work well independently as well as a member of a high-functioning team.
  8. Time management skills, including being able to prioritize tasks and develop systems for accuracy.
  9. Organizational skills and the ability to manage multiple ongoing tasks.
  10. Problem-solving skills and the ability to innovate swiftly when situations change.
  11. Willingness to work occasional nights and weekends.
