Sand Hill Property Company is Hiring an Assistant Property Manager Near Palo Alto, CA

Job Overview:
We are a property development and management company seeking a full-time Assistant Property Manager to join our team in Palo Alto, CA. The ideal candidate will assist in the day-to-day operations of our properties located within the bay area, ensuring a high level of tenant satisfaction and property performance.

Job duties would include, but are not limited to:

- Assist with overseeing all aspects of property management for a portfolio of retail and office properties in the Bay Area/Silicon Valley

- Provide first-class service to tenants, property guests, and internal clients.

- Assist Property Manager with building staff, including SHP personnel and third party providers

- Manage service contracts - janitorial, HVAC maintenance, landscaping and other services in accordance with property objectives and contract scope

- Perform regular property inspections to ensure the property appearance and function meets company standards

- Obtain competitive construction, contract/repair prices and identify vendor resources

- Work with Property Manager to identify and execute major repair, maintenance, and upgrade projects.

- Work with Property Manager to Develop capital expenditure plan for the assigned portfolio

- Provide Project Management Services for Capital/Tenant Improvement projects from initial space planning through project close-out.

- Prepare for and respond to property emergencies including physical damage/destruction, security threats and system failures.

- Consistently work to improve the overall quality and reputation of each property to the highest possible standard.

- Coordinate and perform tenant move ins and outs

Financial

- Assistant Property Manager with preparation and implementation of Property Budgets, CAM Estimates /Reconciliations, and financial reports in accordance with Company guidelines

- Coordinate with Senior Manager and Accounting Staff to ensure accuracy of property financial information including tenant billings, invoice review/approval, & project tracking

- Collect rent and other monies due from tenants. Monitor delinquent amounts and manage collections procedures.

- Assist in preparation of draw requests to lenders

Leasing

- Prepare vacant suites for lease in house or through outside brokers

- Monitor broker activities and company brokers on tours and provide answers to property-related inquiries

- Participate in space planning meetings, organize access to property resources, and obtain cost estimates from approved contractors.

- Establish/maintain stacking plan

- Create and Track critical dates or matrix for lease options, terminations, and other matters

- Prepare and Generate Lease Abstracts and/or matrix

Tenant Relations

- Maintain regular contact with tenants to ensure their needs are being met in timely manner.

- Communicate effectively regarding any upcoming events that may affect tenants

- Manage tenant service programs, solicit feedback, and adjust as appropriate

- Prepare and send property notifications to tenants

Other

- Additional job responsibilities as assigned.
