Job Summary
We are seeking a dedicated and organized Receptionist/Administrative Assistant to join our team. This role is essential in providing exceptional customer service and administrative support to ensure the smooth operation of our office. The ideal candidate will possess strong communication skills, attention to detail, and the ability to manage multiple tasks efficiently. Bilingual English/Spanish is required.
Duties
- Greet visitors and clients warmly, providing a positive first impression of the company.
- Answer and direct phone calls using professional phone etiquette, ensuring all inquiries are addressed promptly.
- Perform data entry tasks accurately, maintaining up-to-date records and files.
- Assist in office management duties, including organizing files, managing schedules, and coordinating meetings.
- Proofread documents for accuracy and clarity before distribution.
- Maintain office supplies inventory and place orders as necessary to ensure a well-stocked environment.
- Provide clerical support such as typing correspondence, filing digital and physical documents, and managing office equipment.
- Collaborate with team members to support various administrative projects as needed.
Qualifications
- Proven experience in a receptionist or administrative role is preferred.
- Strong customer service skills with the ability to communicate effectively both verbally and in writing. Bilingual English/Spanish is required.
- Proficiency in data entry and office management software applications.
- Familiarity with phone systems and excellent phone etiquette skills.
- Attention to detail with strong proofreading abilities to ensure accuracy in all communications.
- Ability to multitask and prioritize responsibilities in a fast-paced environment.
- High school diploma or equivalent; additional qualifications in office administration are a plus.
