OVERVIEW

We are seeking a meticulous detail-oriented Accounts Payable Specialist to join our finance team. The ideal candidate will be responsible for handling various accounts payable functions, including processing vendor invoices, managing utility payments, maintaining accurate filing systems and general bookkeeping. This role requires a high level of accuracy and the ability to work efficiently within deadlines.

KEY RESPONSIBILITIES

Accounts Payable:

• Process vendor invoices and ensure all payments are made in a timely manner.

• Verify invoice accuracy, coding, and proper approval before payment.

• Reconcile vendor statements and resolve any discrepancies.

• Maintain vendor records and handle vendor inquiries.

• Establish and maintain relationships with new and existing vendors in accordance with company policies

• Responsible for daily cash management as well as executing credit card and bank account reconciliation

Mail Management:

• Sort and distribute incoming mail.

• Handle correspondence with vendors regarding payment issues or inquiries.

Filing and Documentation:

• Maintain an organized filing system for all accounts payable documents, both electronic and hard copy.

• Ensure all invoices and supporting documents are properly filed and easily accessible.

• Assist in document retrieval during audits or other reviews.

Utilities Management:

• Process and pay all utility bills (e.g., electricity, water, gas) accurately and on time.

• Track and report utility expenses for budgeting and forecasting purposes.

• Liaise with utility companies to resolve any billing issues or discrepancies.

General Duties:

• Assist with month-end closing processes and prepare necessary reports.

• Support the finance team with ad-hoc projects and tasks as needed.

• Ensure compliance with company policies and procedures in all tasks.

• Assist CFO as needed.

QUALIFICATIONS

• 2 years of accounting or accounts payable experience

• Understanding of basic principles of finance, accounting, and bookkeeping

• Ability to maintain confidentiality of company and partner information

• Organized with strong attention to detail

• Experience with accounting software and maintaining virtual recordkeeping.

• Ability to work within multiple systems including Microsoft Excel

• Collaborative nature while being able to work with little oversight

• Previous experience or knowledge of yachting industry and terms is a plus

• Speaking Spanish and/or Italian is a plus
