We are looking for a friendly, compassionate, and detail-oriented professional to join our team as a receptionist and client support assistant. The primary objective of this role is to create a warm and welcoming environment for our clients.
We value attorneys and legal staff who are client-service oriented, tech savvy and devoted life-long learners. We are also committed to balance for our attorneys and support staff who enjoy family time and extracurricular activities, in addition to working hard in an environment where every team member is appreciated, valued and respected.
Schedule
 
  • Full-Time - Approximately 40 hours per week. Workdays are Monday-Friday - no weekends or major holidays.
Compensation
$22-24 per hour with room to grow

Attributes of a Strong Candidate
 
  • High school diploma. Additional college coursework and certification in Office Management is a plus
  • Must be willing and capable of becoming a Notary Public (at firm’s cost)
  • Proven work experience as a receptionist, administrative assistant or similar office role
  • Must have hospitality-forward, customer-service oriented mindset
  • Willingness to learn and receive feedback
  • Proficiency with macOS and Microsoft Office
  • Hands-on experience with office equipment (e.g., scanners and printers)
  • Professional attitude and appearance
  • Solid written and verbal communication skills
  • Ability to be resourceful and proactive
  • Excellent organizational skills
  • Time-management skills, with the ability to prioritize tasks
Primary Responsibilities
 
  • Greet clients upon arrival to our office
  • Review daily calendar to anticipate in office appointments
  • Answer, screen, and forward incoming phone calls
  • Ensure reception area is tidy and presentable
  • Provide basic and accurate information in-person and via phone/email/text
  • Receive, sort, scan and distribute daily mail and client documents, as needed
  • Order office supplies and keep inventory
  • Perform office opening and closing duties
  • Perform other clerical duties such as filing, scanning and photocopying
  • Provide client file administration (opening, closing, maintaining files as well as scanning and renaming of files)
  • Prepare estate planning and business planning signing packages, trust administration signing packages and closing materials
  • Introduction to court filings and case management for probate and related matters
  • Assist clients in scheduling appointments and making payments
  • Communicate with (prospective) clients through email, text messages and phone calls
  • Contribute to, and improve, the firm’s documented processes
