Saxco is Hiring a Dispatch Coordinator Near Portland, OR

Position

The Dispatch Coordinator is an exempt role responsible for participating in all transportation and logistics needs, including managing the Transportation Management System (TMS), daily reporting on total orders, works with the operations team, Supply Chain, and Customer Service to ensure all deliveries are met to customer satisfaction. Each coordinator is assigned to a specific region and is solely responsible for all logistics and transportation activities within that region. This position involves significant decision-making authority, including selecting vendors, negotiating contracts, and adjusting routers or schedules based on operational needs without seeking higher approval. The coordinator handles major assignments that impact overall business operations and financial performance, demonstrating independent judgement and strategic thinking. This role requires collaboration with senior management and cross-functional teams to optimize logistics operations and drive business success. The coordinator must thrive in a national business and be a key member of a multinational team.

Primary responsibilities (but not limited to any of these functions and responsibilities as required):

  1. Daily Freight Reporting (25%)
  2. Ensure all sales orders PPD & C match freight rates that are arranged and make necessary changes to avoid margin erosion
  3. Daily Dispatch duties (45%)
  4. Ensure that all orders are assigned to proper carriers matching carrier lane to customer.
  5. Ensure that all orders are picked up and delivered as requested in a timely fashion.
  6. Customer service issues (5%)
  7. Work with Customer Service to ensure the perfect order is entered and able to be executed upon by transportation and operations.
  8. Trouble shoots issues necessary to meet customer needs.
  9. Production (10%)
  10. Work with production planning & operations team to ensure that all orders are produced, posted and ready for shipment 24 hours prior to shipment
  11. Engage Logistics Planning Services (LPS) and the carrier billing process
  12. Pick List & Pro – Forma Pack Slips (15%)
  13. Ensure that all pick lists and pro forma pick lists are reserved and ready for operations to stage and prepare for loading
  14. Perform projects as required by Dispatch & Traffic Manager or Sr Manager of Transportation.
  15. Hours: The position is full-time work Monday – Friday. Shifts will be assigned 6:00 – 2:30 pm and 7:00 – 3:30. 8-4:30 pm, but hours may vary based on business needs. Hours are subject to change at employers' discretion.

  • Impact on Business Operations: The Coordinator handles major assignments outside of dispatching that significantly impact business operations.
  • Financial Decisions: Responsible for selecting vendors, negotiating contracts, and making financial decisions.
  • Operational Adjustments: Authorized to adjust routes or schedules based on operational needs without seeking higher approval.

Performance Measures:

Minimum Requirements

Education and Experience

  • 3-5 years of experience in procurement, logistics, transportation, or operational roles. Direct experience with logistics and/or transportation management is preferred.
  • Bachelor’s degree in Business or Supply Chain, or 3-5 years of equivalent professional experience.
  • 3-5 years of experience in transportation, ERP, TMS, or AX Logistics.
  • Knowledge of Microsoft AX programs and Capstone 3G TMS is a plus.

Knowledge, Skills, and Abilities

  • Excellent analytical, problem-solving, and organizational skills.
  • Strong Microsoft Office and PC skills are required, with strong capabilities in Microsoft Excel and database programs preferred.
  • Excellent Excel skills.
  • Experience with BluJay TMS (a big plus); candidates are required to have at least 5 years of working experience with TMS systems.
  • Previous experience executing freight optimization initiatives within TMS systems.
  • Knowledge of the transportation industry, including current and anticipated regulatory changes.
  • Excellent oral and written communication skills.
  • Proven ability to think independently and handle multiple projects through to completion.
  • Must be able to work with ambiguous information.
  • Record of successfully collaborating with and influencing senior management and peers.
  • Six Sigma Certification or other Supply Chain certifications are a plus.
  • Record of quality decision-making, judgment, and execution.
  • Demonstrated independent work initiative, sound judgment, diplomacy, analytical ability, and professional demeanor.
  • Demonstrable ability to lead, recruit, manage, and train staff.
  • Able to perform financial calculations and create and manage budgets.
  • Ability to take initiative and work independently while also being a member of a cross-disciplinary and multifunctional team.
  • Established bias for action, with a can-do attitude and the ability to approach challenges with creative, solution-oriented thinking.
  • Strong organizational and time management skills with the ability to effectively multi-task.
  • Strong customer focus with attention to detail.
  • Flexible and able to succeed in a fast-paced work environment.
  • Proven team collaboration abilities.
  • Intermediate computer skills with strong Excel/Access knowledge and capabilities.
