Project Billing Specialist
Section I. General Overview & Reporting:
The Project Billing Specialist is responsible for financial management of assigned operational project(s). This role will work collaboratively with the Project Managers to capture and manage all revenue items associated with the project(s) and complete invoice processes on a monthly basis. This position works collaboratively with the Project Management department, and reports to the Accounts Receivable Manager.
Section II. Duties & Areas of Responsibility:
The primary duties of the Project Accountant consist of, but are not limited to, the following:
  • Project Accounting Activities:
    • Process contract pay applications and draw schedule invoices
    • Ensure timely and accurate capture of all project related revenues against contract values
    • Experience setting up contract values in G702 an G703 format
    • Project reconciliations
    • Initiate and coordinate project lien process, including timely contract notices and lien releases
    • Understand the contract terms and conditions to ensure alignment with the project
    • Work with the Project Manager to prepare, post and submit client invoices and associated back-up on a monthly basis
    • Assist with preparation of change orders for monthly draw processing, working with project managers to confirm all monthly invoices to be submitted
    • Proactively review and resolve any client invoicing issues promptly prior to monthly processing
    • Coordinate and track all invoices
    • Work with project manager and central accounting to review and track project budget(s)
    • Manage all revenues against assigned project budget(s)
    • Identify and communicate any variances to budget
    • Review, reconcile and follow-up on all outstanding accounts receivable balances
    • Preparation of project financial statements
    • Maintain customer files and relationships
    • Support the Controller and CFO in carrying out the responsibilities of the accounting department
  • General Accounting Activities
    • Assist in establishing and maintaining standard cost metrics
    • Assist in year end inventory counts
    • Assist/maintain assigned balance sheet reconciliations
    • Contribute/support year end audits
    • Develop and maintain written work procedures
    • Identify process improvements and recommend to management
    • Other duties, as assigned
Section III: Necessary Skills and Attributes:
  • Accounting or related Degree OR demonstrated competence in construction/contractor accounting, costing, and billing.
  • 3 - 5 years project accounting experience preferred
  • Strong attention to detail
  • Excellent problem resolution abilities
  • Solid written, verbal, and presentation communication abilities
  • Excellent interpersonal, and collaborative skills
  • Professional demeanor
  • ERP experience (Epicor Profit 21 preferred)
  • Microsoft Office skills (advanced Excel)
  • Knowledge and use of Procore and Textura software helpful
  • Strong time management, planning and organizational skills
  • Excellent reliability/dependability
  • Ability to work well both independently, and in team settings
  • Willingness to assist wherever needed
Section IV: Physical Requirements:
  • Visual acuity required to read computer screens, written documents, invoices, checks, etc.
  • Must be able to work sitting, standing, stooping, bending, and in squatting position
  • Ability to speak and talk on the phone
  • Must be able to lift up to 20 pounds
  • Manual dexterity required for computer work, to handle materials, supplies, etc.
