Overview
The Financial Assistant is responsible for supporting the financial and administrative functions within the office. This includes managing daily financial tasks, assisting with bookkeeping, processing invoices, handling payroll, and maintaining accurate financial records.
Key Responsibilities:
- Assist in maintaining and updating financial records, including ledgers, invoices, receipts, and other financial documents.
- Help prepare financial statements and reports as required by the accounting department.
- Assist with the month-end and year-end closing processes.
- Process vendor invoices and ensure that all accounts payable are accurate and timely.
- Assist in processing payroll for employees, ensuring accurate tracking of hours worked, salaries, bonuses, and deductions.
- Help maintain records related to employee benefits, deductions, and tax withholdings.
- Review and process employee expense reports.
- Ensure that expenses are in line with company policies and guidelines.
- Maintain a record of expenses and assist with tracking departmental spending.
- Reconcile bank statements to ensure accuracy of financial records.
- Assist in tracking cash flow and maintaining records of cash transactions.
- Provide administrative support to the finance team, including scheduling meetings and preparing financial documentation.
- Organize and maintain financial filing systems for easy access to records.
- Enter financial data into accounting software or spreadsheets accurately and efficiently.
- Assist with the management of financial software and ensure that all data is up-to-date.
- Ensure compliance with internal financial policies, procedures, and relevant laws.
- Assist in maintaining accurate and organized financial records for auditing purposes.
- Provide general office support such as answering phones, directing inquiries, and performing clerical tasks as needed.
Experience
- Strong organizational and time-management skills.
- Proficiency with Microsoft Office Suite (Excel, Word, Outlook).
- Familiarity with accounting software (e.g., QuickBooks, Sage, Xero) is preferred.
- Basic understanding of financial principles and accounting practices.
- Excellent communication and interpersonal skills.
- Attention to detail and accuracy.
