Scion Staffing is Hiring an Events Coordinator Near New York, NY

Scion Nonprofit Staffinghas been engaged to conduct a search for an Events Coordinatorfor a prestigious educational institution in New York City. Thisis a full-time, onsite, temp-to-hire opportunity.As the Event Coordinator, you are responsiblefor overseeing incoming event requests for both internal and external events, managing the event management system, andcreating event diagrams.
RESPONSIBILITIES:
  • Manage and track requests for internal and external events.
  • Create and maintain a tracking sheet for internal event requests.
  • Update and manage the team staffing calendar.
  • Oversee the school-wide event scheduling program called Resource Scheduler.
  • Prepare and distribute a weekly events report for the next two weeks to the events team and senior staff.
  • Manage materials for weekly inter-departmental events meetings, including diagrams and maintenance/security requests.
  • Review and manage the Faculty Engagement calendar with the Vice President of Institutional Partnerships and the Event Manager.
  • Serve as the frontline contact for incoming phone calls and walk-ins.
  • Manage assigned internal clients.
  • Support the events team in troubleshooting during events.
  • Perform daily checks of room setup for scheduled events.
  • Send out weekly feedback surveys to clients who hosted events.
  • Review surveys and provide a monthly report on survey results to the Executive Director of Event Management and Programming, Vice President of Institutional Partnerships, and CFO. Flag critical issues as needed.
QUALIFICATIONS:
  • 2-3 years of Events and Conference Management experience.
  • Strong interpersonal and customer service skills.
  • Advanced user of MS Excel.
  • Advanced scheduling skills within scheduling software.
  • Ability to work mainly 9-5pm, but flexible for later events.
  • Ability to work in a high volume /high energy environment.
COMPENSATION AND BENEFITS:The hourly pay range for this role is$26-28hr.Benefits includemedical, dental, vision, voluntary life insurance, an employee assistance plan (EAP), and commuter and transit benefits for those who are working on average 30 or more hours per week.
