AP & AR Specialist

Scott Humphrey has partnered with a leading provider of custom signage solutions in Houston, TX, who is currently seeking a detail-oriented and experienced AP & AR Specialist to join their team.

The AP & AR Specialist will be responsible for managing all aspects of the accounts payable and accounts receivable processes. This role requires a high level of accuracy, efficiency, and a deep understanding of accounting principles. The ideal candidate will have experience in both AP and AR functions, possess excellent organizational skills, and be able to communicate effectively with vendors, customers, and internal team members.

Responsibilities:

• Process and verify invoices for accuracy and authorization.
• Ensure timely and accurate payment of invoices.
• Reconcile vendor statements and resolve discrepancies.
• Maintain and update vendor files, including W-9s and payment terms.
• Prepare and process electronic transfers and payments.
• Review expense reports and process employee reimbursements.
• Assist with month-end closing and accruals.
• Generate and send out invoices to customers.
• Monitor accounts receivable aging and follow up on overdue accounts.
• Post payments and reconcile customer accounts.
• Resolve billing issues and discrepancies.
• Prepare deposits and record cash receipts.
• Assist with credit control and collections efforts.
• Collaborate with sales and customer service teams to ensure accurate billing.

Requirements:

• Bachelor’s degree in Accounting, Finance, or related field.
• Minimum of 2-4 years of experience in accounts payable and receivable or similar roles.
• Experience with accounting software (e.g., QuickBooks, SAP, Oracle, etc.).
• Proficiency in Microsoft Office Suite, particularly Excel.
• Familiarity with accounting principles and practices.
• Strong attention to detail and accuracy.
• Excellent organizational and time-management skills.
• Strong communication and interpersonal skills.
• Ability to work independently and as part of a team.
• Problem-solving skills and the ability to handle discrepancies effectively.
• Proactive and assertive approach in collections activities.
