Responsibilities
An I&OPI is responsible for receiving orders and processing purchasing orders for customers. Processing orders involves documenting customer orders accurately and entering data into the system.
The job also consists of submitting information to a company's Manufacturing Capacity Scheduler / Planner for proper processing throughout the necessary departments.
The I&OPI will receive these orders through various channels, including online, e-mail, EDI, or website transactions. They may maintain a finished goods database, including drawing (product) numbers, descriptions, pricing information, adding new items, and recording newly assigned drawing numbers.

Responsibilities :
1. Receiving orders from customers via mail, phone, or other electronic means.
2. Obtaining customers’ details and billing information and entering the information correctly on the approved record of information.
3. Informing the customer experience department of any concerns or issues regarding the customer order.
4. Reviewing orders for completeness and forwarding incomplete orders for further processing to sales and following up to keep orders in the queue.
5. Liaising with the following teams :
b) The Engineering team for design time
c) The Customer Experience team for current information
d) The Purchasing team for material availability
e) Production team for plant capacity
6. Forwarding accurate information to scheduling and planning
After these five teams agree, the Intake & Order Processor I will send the order to the Scheduler / Planner who will enter the manufacturing order (MO) into the production schedule.
This scheduling step requires each of these five teams to be available for liaison upon receipt of a new order or orders by IPS.
Processing orders
The primary duty of an I&OPI is to facilitate efficient and accurate processing of the purchase orders the company receives through different communication platforms.
Processing will involve entering the complete order utilizing QuickBooks and MISys (manufacturing information system) to process orders, record prices, delivery request dates, and maintain customer information and data related to each transaction to track costs and profits quickly.
An I&OPI performs a preliminary contract review of all purchase orders to ensure they have noted all pertinent information.
They will resolve pricing discrepancies via the sales department. The I&OPI will research and fix order errors and update the system.
I&OPI is responsible for keeping records of all transactions for proper monitoring. They confirm and acknowledge orders.
They notify the customer experience team of any update on shipping status as advised by the planner, and of any other backorder or delivery delays.
Other Duties
Additionally, I&OPI may prepare other order-related documentation. They prepare documents relevant to customer orders and prepare job / project packets, required labels, and placards per the MO for staging.
They check the current status of orders and maintain shipping and delivery records for accurate monitoring. They will also provide information to the CE team as required for customer reports on order status.
The I&OPI may occasionally receive customer concerns, which they forward to the customer experience (CE) department for proper handling.
They may interact with purchasing, production, engineering, and sales to ensure quick and accurate order processing.
