Property Manager
Position Summary:
Our Client is one of the largest owners and managers of commercial real estate in the United States with a portfolio of over 100 million square feet, primarily located in the New York and Washington DC metropolitan areas. Their core businesses include: New York Office properties; Washington DC Office Properties & Retail Properties. They are looking for an Property Manager
The on-site property manager provides leadership and oversight for all daily property administration, management and operational functions including, but not limited to, contract administration, purchasing, project management, on-site staff supervision & tenant relations. This position requires a proven knowledge base for both property operations & construction, preparation of the annual financial budgets for operating and capital expenses, preparation of monthly variance reporting and attention to tenant collections. The individual shall be highly ethical, innovative & motivated. The property manager has ultimate responsibility to manage the engineering staff, coordinating the preventive maintenance and preservation of the mechanical infra-structure as well as other common elements of the property. He/She shall be able to a demonstrate their experience and ability to negotiate contracts, deal with staff issues, provide technical input for the development of scopes of work, read, review and comment on architectural/engineering plans and leases and provide technical and administrative guidance to the field staff. This position reports to the Director of Operations.
Essential Duties and Responsibilities
Must review and understand the building operating goals and organize a plan to achieve the milestones set in place by the approved annual building business plan.
Must be able to set own goals for the property and proactively lead team to meet these goals.
Oversee operations of properties and ensure building presentation and operations are maintained according to required standards and procedures
Excellent administration, coordination and customer service skills. Maintain communication and availability to all staff levels.
Manage the process and procedures associated with the company operating procedures and protocols.
Have a good working knowledge for using a computer and related software (word processing, spreadsheets, accounting, work orders, etc.).
Maintain an open line of communication with the Director of Operations and building corporate management team.
Recognize operational and management difficulties and develop appropriate solutions.
Accept leadership responsibility for all emergencies and coordination of corrective actions.
Ability to handle multiple projects and assignments, analyze facts & exercise sound judgment when arriving at conclusions.
Maintain property compliance with building codes.
Maintain oversight of all capital projects, schedule and budget.
Participate in the development and review of all property operating reports required. Also, participate in the presentation of the monthly, quarterly and annual reports as may be required.
Assure that accurate records are maintained for all site specific projects, tenant requests, preventive & general maintenance, tenant insurance certificates (proper coverage and limits per lease) & any other operational related items required that can have a consequence against property operations.
Must have the ability to communicate clearly and persuasively at all operating levels; including staff, vendors and contractors, for both positive and negative situations.
Write clearly and informatively with the ability to change writing style to meet the needs of various situations.
Must have good problem solving & analytical skills
Perform quality control inspection of tenanted spaces, general building presentation & owner related projects.
Have an understanding of financial reports and the requirements for developing budgets & other typical operating documents.
Be comfortable & capable and responsive to work with legal counsel and brokerage team.
Maintain the necessary checks and balances for consistency that staff is following mandated procedures, including the processing of purchase orders, sundry charges and tenant requests & notices.
Considerable knowledge and experience managing and operating a first class commercial property.
Ability to enforce and have a general understanding of various Federal, State and NYC Codes and regulations involving building operations & construction/capital projects.
Review and interpret lease, service & construction contracts and read plans for operating and construction needs. Deal with & solve practical problems and recognize anomalies as issues may arise.
Perform quality control inspection of tenanted spaces, general building presentation & owner related projects.
Performs other duties as directed.
Skills/Experience/Education:
Bachelor’s/Master’s Degree with related experience; CPM, RPA, CMS or engineering degree preferred.
Minimum of 7 years in a similar work environment handling “class A” real estate.
Highly Motivated and a self-starter with leadership qualities.
Experienced developing “zero based” budgets, operating expenses; performing project management; reviewing leases & contracts.
Demonstrated success in the administration of various service contracts.
Strong organizational & excellent communication skills (written & oral)
Proficient in software such as MS Word, Excel, Outlook, Kardin, MRI, Yardi, Yardi Procure to Pay (P2P), Nexus, Avid, Angus, Building Engines & Workspeed.
Customer service mentality and able to work in a team environment.
Ability to work independently with minimum supervision
Flexible to handle changing priorities and projects
Ability to prioritize workload with attention to detail and willingness to complete projects in a timely and efficient manner.
