Job Title: Programs and Operations Director

Reports to: Executive Director

Location: Atlanta, GA

Second Helpings Atlanta, a food rescue and hunger relief organization, is on a mission to significantly reduce hunger and food waste in the Metro Atlanta area. We achieve this by rescuing healthy, nutritious, surplus food and distributing it to a network of nonprofit partners with feeding outreach programs. The Programs and Operations Director is a leadership position and reports to the Executive Director. Central to this role will be oversight of SHA’s Programs and Operations. 

Job Responsibilities:

Programs

  • Oversee all SHA programs, including, but not limited to, agency relations, food rescue network, volunteers, and warehouse operations. 
  • Oversee the food network, including accurate Food Donor (FD) and Partner Agency (PA) records in Salesforce, food donor recruitment and cultivation, and volunteer recruitment and cultivation.
  • Oversee development and ongoing support of the partner agency network, including fostering relationships, providing resources, and ensuring effective communication.
  • Ensure compliance with all internal and external affiliation agreements/contracts and their related policies and procedures, including but not limited to state, federal, and local agencies, partner organizations, and other contractors. 
  • Develop and implement network growth, stability, and resilience strategies, identifying opportunities and addressing potential issues.
  • Lead the growth of the food donor and agency network, identifying service area gaps in coordination with other organizations.
  • Act as an escalation point for network issues, coordinate special projects, and holiday planning, handle inbound requests, and provide backup support for team roles as needed.
  • Develop and conduct workshops, training, or support materials for agency partners to ensure best practices, address common deficiencies, and encourage growth as identified in agency surveys, on-site monitoring, and assessments. 
  • Determine the best routing options from FD to PA, with a sustainability mindset to ensure the shortest distance is prioritized. 
  • Ensure accurate and timely reporting of data for monthly financial reports and board updates. 
  • Facilitate and support organizational needs by gathering and analyzing demographic and geographic data to inform decision-making. 
  • Integrate new technology and best practices. 

Operations 

  • Manage the operations team to ensure safe and efficient internal operations and excellent customer service for donors, agencies, and volunteers. 
  • Responsible for training and developing staff and implementing cross-training and succession planning practices. 
  • Oversee, evaluate, and work to improve operational systems and processes to enable SHA to operate efficiently and accommodate the expected short-term and long-term growth.
  • Ensure that complete and accurate records are maintained.
  • Oversee the development, implementation, and maintenance of a comprehensive safety program for employees and volunteers. Develop a tracking and reporting system for the safety program and ensure SHA's strict adherence to the plan.
  • Oversee facility maintenance activities, including preventive maintenance and repairs to the physical warehouse's building, equipment, and operating systems.
  • Responsible for developing and implementing the goals and budgets of the Operations Department, including an active ongoing review and analysis of activities, costs, operations, and performance measurements, as well as overseeing the efficient receipt, storage, and distribution of food products in compliance with food safety standards.
  • Oversee the development, implementation, and management of a safe, efficient, cost-effective transportation system (truck fleet), including maintenance scheduling.
  • Responsible for developing and implementing the goals and budgets of the Operations Department, including an active ongoing review and analysis of activities, costs, operations, and performance measurements.

Supervision:

  • Supervise program and operations staff. Provide regular feedback and timely evaluations to ensure high productivity, excellent customer service, work plan completion, and teamwork. Establish and maintain a positive, collaborative, and productive work culture. 
  • Recruit and make recommendations for programmatic and operational hires to the Executive Director. 
  • Ensure the training and adherence to program policy by all staff, volunteers, agency representatives, and participants. 
  • Demonstrate willingness to perform additional duties as necessary to the development and maintenance of the organization.

Other

  • Work collaboratively with development staff to ensure fundraising and marketing support for all SHA programs.
  • Control expenditures per the SHA budget and develop strategies to reduce expenses.
  • Maintain Standard Operating Procedures (SOPs) for all programs and operations positions, reviewing and updating them annually.
  • Represent SHA in the community, including attending meetings and public speaking opportunities. 

Skills and Qualifications:

Location: Primarily in the 970 Jefferson St. NW, Atlanta, GA 30318 office. Occasional in-state travel to

meetings and events.

Schedule: 40-50 hours standard weekly, typically Monday - Friday. Occasional evenings or weekend

hours may be required.
