We are seeking an Office Administrator who can seamlessly multitask, enjoys optimizing processes, and takes pride in maintaining order. #### Main Responsibilities: - **Invoice Management:** - Generate and manage client invoices. - Track payments and update internal records. - Reflect client payments and expenses accurately. - **Project Coordination:** - Manage multiple projects simultaneously. - Ensure timely delivery of materials and samples to the correct addresses. - Place orders for necessary materials and samples. - **Vendor Management:** - Follow up with vendors to ensure timely delivery. - Address any delays or issues with assertiveness. - Maintain positive and effective communication with suppliers. - **Administrative Support:** - Organize and maintain documents. - Optimize office processes for efficiency. - Support the team with various administrative tasks as needed. #### Challenges: - **Multitasking:** Handle several projects at once with overlapping timelines. - **Attention to Detail:** Ensure accuracy in managing deliveries, invoices, and communication. - **Proactive Follow-Up:** Assertively chase vendors and suppliers to ensure all requests and deliveries are fulfilled promptly. #### Salary and Progression: - We offer a progressive salary increase structure. - The starting salary will be the lowest for the first two months during the training and settling-in period. - After the first two months, there will be an initial salary raise. - We will continue to raise the salary progressively every two to three months. - The salary will reach the maximum for this position approximately one and a half years after starting the job. #### Qualifications: - Excellent organizational skills and attention to detail. - Ability to multitask effectively in a busy environment and organise your own workload - Strong communication and assertiveness. - Experience in administrative roles, preferably in a design or creative industry. However any experience in administrative role is considered. - Proficiency with invoicing and tracking payments.
