Office Administrator Part Time

Position – Office Administrator

Job Location – Brookfield, WI

Starting Date – Immediate

Employment Term – Direct Hire

Employment Type – Part time

Work Hours (Shift) –  30 hrs per week / Flexible part time 1st shift – Mon-Fri (7am-9am) start time and (3:30pm-5:30pm) end time

Starting Pay – Depends on Experience, $25 per hour

Required Education – High School Diploma/GED

Required Experience – At least 3-5 years of experience

The Office Administrator is responsible for providing essential administrative support to the company. This role involves handling various office tasks, including invoicing, answering phone calls, issuing purchase orders, managing bills of lading, and maintaining accurate records of sales orders and payment activity.

Key Responsibilities

  • Invoicing: Prepare and process invoices promptly and accurately. Ensure timely payment collection.
  • Customer Service: Answer incoming phone calls, respond to customer inquiries, and provide excellent customer service.
  • Purchasing: Issue purchase orders for supplies, equipment, and other necessary items.
  • Shipping: Manage bills of lading and coordinate shipping arrangements.
  • Recordkeeping: Maintain detailed spreadsheets of sales orders, payment activity, and other relevant data.
  • Administrative Support: Assist with general office tasks, such as filing, photocopying, and data entry.

Qualifications

  • Strong organizational skills and attention to detail.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook).
  • Excellent communication and interpersonal skills.
  • Ability to prioritize tasks and manage multiple deadlines.
  • Experience with accounting software (e.g., QuickBooks) is required.
