Responsibilities

DESCRIPTION:
The Specialist, Nursing Program performs a broad range of advanced and complex administrative duties for the department of nursing. Assists faculty, staff, and students with program, department, and college procedures. Oversees nursing office operations to ensure efficient and smooth functioning.

ESSENTIAL FUNCTIONS:
1. Provides support for nursing department, faculty, and students, such as maintains files/records, and prepares correspondence, documents, reports, spreadsheets, and meeting materials.

2. Prepares and completes department full-time and part-time employee payroll processes, including submitting time sheets and preparing forms for approval.

3. Assists in balancing operating budgets and funds, purchasing, attendance, leave record keeping.

4. Completes schedule building for all nursing courses, including room assignments.

5. Assists in monitoring grant projects, including preparing materials for institutional review/approval and project reports.

6. Schedules full- and part-time faculty loads each semester and completes approval to teach documentation.

7. Assists in hiring, scheduling, training, and supervising of office personnel, including Federal Work-Study.

8. Completes lab and supply order processes, including securing quotes and ordering items.

9. Assists in monitoring the credentialing of faculty and staff as well as maintaining faculty college requirements documentation.

10. Coordinates advisory committee scheduling, agendas, minutes, and follow-up actions.

11. Prepares and submits accurate NCLEX graduate correspondence to the Florida Board of Nursing.

12. Performs other duties as may be required or assigned.

REQUIRED QUALIFICATIONS:
1. Associate’s degree from a regionally or nationally accredited institution in Office Systems Technology or related field.

2. Three years of office administration, operation, or management experience.

1. Experience working in a nursing program or health-related field.

1. Excellent planning and organizing skills; ability to set priorities and anticipate outcomes.

2. Ability to take independent action to resolve issues/problems related to department activities.

3. Ability to handle multiple tasks and to meet deadlines.

4. Ability to interact effectively with leadership, students, faculty, staff, and community affiliates.

5. Ability to treat confidential information with sensitivity.

6. Skilled in the use of office equipment and technology, such as copiers, printers, and scanners.

7. Strong problem solving and decision-making skills.

8. Excellent Microsoft Office 365 skills (Outlook, Word, Excel, PowerPoint) and the ability to become proficient with videoconferencing applications, including Teams/Zoom.

9. Ability to enter and retrieve data from an enterprise systems application, such as PeopleSoft.

10. Excellent verbal, written, and interpersonal communication skills.

11. Commitment to working in a multicultural environment.

12. Ability to exhibit a professional, courteous demeanor.

WORK ENVIRONMENT and SPECIAL CONSIDERATIONS:
1. Works in an office environment.

2. Ability to occasionally work flexible hours, including evenings and weekends.

3. Ability to occasionally travel to other campuses.

Conditions of Employment

Finalists and individuals recommended for employment at Seminole State College must reside in the State of Florida at the time of hire and may be subject to background investigations and fingerprinting in compliance with Florida Statute 1001.64; and Seminole State College Policy 1.020; 2.020. Criminal background checks and fingerprinting will be conducted for all new employees, and for rehired employees who have had a break in service for one year or more. The Office of Human Resources will determine which background checks shall be conducted for each position, based upon its review of job descriptions and the responsibilities of the position. These include, but are not limited to, positions that have access to money, master keys, security-sensitive areas and confidential information; positions that have the capability to create, delete, and alter records; and positions that are responsible for the care and instruction of children. The College will conduct various types of background checks which may include, but are not limited to: criminal background, credit check, driver's license check, previous employment and references.
