OverviewThe Support Services Specialist is responsible for permit processing and tracking, credit card and expense report processing, and other areas of general administrative support for accounting and human resources.
This is a non-exempt position and reports to the Chief Financial Officer. It is based out of our Redmond, WA headquarters and is a fully in-office role. Our office is open from 7am-4pm; team members have flexibility with their daily work schedule, based on their needs and the needs of their team and the work.
ResponsibilitiesAs a Support Service Specialist you will be play a vital role in facilitation the seamless execution of electrical construction projects by ensuring compliance with local regulations and obtaining necessary permits. You will be responsible for processing of credit card transactions and expense reports, ensuring accuracy, compliance, and timely reimbursement. The Support Service Specialist will also provide administrative assistance across the core areas of support services including accounting and human resources.
Additional Responsibilities For This Role IncludePermit Coordination
  • Permit Acquisition: Research, prepare, and submit permit applications required for electrical construction projects according to local, state, and federal regulations. This involves understanding and interpreting building codes, zoning ordinances, and other relevant guidelines.
  • Documentation Management: Maintain accurate records of permit applications, approvals, and related correspondence. Organize and track permit statuses to ensure timely approvals and adherence to project timelines.
  • Communication and Coordination: Serve as the primary point of contact for internal teams, external contractors, regulatory authorities, and other stakeholders regarding permitting matters. Facilitate communication and coordinate efforts to resolve permitting issues efficiently.
  • Quality Assurance: Conduct thorough reviews of project plans and specifications to identify any potential compliance issues or discrepancies prior to permit submission. Coordinate with project teams to address and resolve any concerns to ensure successful permit acquisition.
  • Process Improvement: Continuously evaluate and streamline the permitting process to improve efficiency and effectiveness. Identify opportunities for automation or optimization to enhance overall project delivery.
Credit Card and Expense Report Processing
  • Manage the end-to-end process of credit card transactions and expense reports, from receipt submission to reimbursement
  • Review and validate expense reports and receipts for accuracy, completeness, and compliance with company policies and guidelines
  • Process credit card transactions, including coding expenses to appropriate accounts and ensuring proper documentation
  • Verify expense allocations and account coding for accuracy and consistency
  • Communicate with employees to resolve discrepancies, missing receipts, or policy violations in expense reports
  • Ensure timely reimbursement of employee expenses in accordance with company policies and payment schedules
  • Reconcile credit card statements and expense report transactions with accounting records
  • Assist in the preparation of month-end and year-end reports related to credit card transactions and expense reimbursements
  • Maintain accurate records and documentation of credit card transactions and expense reports
General Administrative
  • Provide general administrative support, including answering phones, managing correspondence, and handling inquiries
  • Prepare and edit correspondence, reports, presentations, and other documents as needed
  • Assist with a variety of tasks as needed by the HR and Recruiting team
  • Order and maintain office supplies and equipment inventory
  • Assist with event planning and coordination for meetings, conferences, and company events
  • Handle incoming and outgoing mail, packages, and deliveries
  • Assist with data entry, record-keeping, and database management tasks
  • Collaborate with other administrative staff to ensure seamless operations and coverage as needed
  • Perform other administrative tasks and special projects as assigned by management
QualificationsThe ideal candidate will have previous experience in construction permitting. A bachelor’s degree in accounting, finance, business administration, or related field or have 3 years or relevant experience. They will have proficiency in Microsoft Office Suites and preferably they will have prior experience in an accounting or administrative role with specific experience in credit card and expense processing.
Skills And AbilitiesSuccess in this role requires the ability to effectively collaborate with diverse stakeholders and navigate regulatory processes. This Support Services Specialist will need to have the ability to prioritize tasks and management multiple deadlines.
