Job Summary: ServBeyond is seeking a talented and experienced Proposal Manager to lead the proposal development on multiple concurrent bids. The successful candidate will manage all aspects of proposal preparation, ensuring compliance with client requirements and delivering high-quality, competitive proposals. This role requires exceptional organizational, strategic thinking, and project management skills, with the ability to handle multiple deadlines and changing priorities and reports directly to the Director of Proposal Management.

Responsibilities:

  • Lead the end-to-end proposal development process, ensuring adherence to ServBeyond's pursuit framework and meeting all customer requirements, including deadlines, format, and content.
  • Analyze RFPs, RFQs, RFIs, and SOWs in detail and communicate findings to relevant stakeholders.
  • Develop proposal tools such as outlines, team assignments, management plans, schedules, kickoff meeting materials, and writing plans.
  • Represent ServBeyond on external capture teams to gather important proposal information and coordinate contributions.
  • Establish and maintain communications among teammates using collaborative tools, phone calls, and email.
  • Schedule and run solution sessions and win theme meetings.
  • Write non-technical proposal content including, but not limited to, executive summaries, staffing and management plans, and past performance references.
  • Provide direction and coordination for proposal graphics and ensure all sections comply with RFP requirements, win strategies, and standard formats.
  • Oversee the production and delivery of all proposal documents, ensuring accuracy and completeness.
  • Coordinate with pricing staff to ensure all information for the Cost Proposal is available and submitted on time.
  • Obtain final approvals and signatures, ensuring compliance with all internal procedures.
  • Attend win/loss debriefings and assist with developing lessons learned.
  • Proofread and rework documents to minimize errors and ensure high-quality deliverables.
  • Schedule and lead proposal standups, color team reviews, and miscellaneous meetings.
  • Maintain documentation relevant to proposals in accordance with company procedures.
  • Guide pursuit teams in preparing oral presentation decks.

Additional Responsibilities:

  • Lead or contribute to team initiatives or special projects related to process improvement, content management, and quality management.
  • Provide orientation and training for new proposal team members on development processes, writing strategies, and procedures.

Requirements:

  • Bachelor’s degree from an accredited university plus 6 years of professional experience OR 10 years of professional experience in lieu of a degree.
  • Proven experience managing large, complex proposals for Federal Government agencies independently, preferably in professional services.
  • 1-2 years of experience guiding teams in preparing for Federal orals/interviews.
  • Advanced skills in Microsoft Word, PowerPoint, SharePoint, and PDF.
  • High attention to detail and commitment to high-quality work.
  • Ability to review, understand, and summarize RFP, RFI, and RFQ requirements.
  • Strong organizational and time management skills, with the ability to handle multiple proposals simultaneously.
  • Excellent communication, writing, formatting, editing, and proofreading skills.
  • Exceptional customer service skills and the ability to work with individuals at all levels.
  • Must be a US citizen due to the nature of many government proposals.

Preferred Qualifications:

  • Experience coaching teams for public and private sector client proposals.
  • Familiarity with Adobe Acrobat Professional for creating and editing PDF documents.
  • Knowledge of CRM solutions and experience with Jira or similar software.
  • Familiarity with professional information technology services including service desk.

Salary Information

The salary range for the Proposal Manager position is competitive and commensurate with experience, typically ranging from $100,000 to $115,000 annually with bonus potential.
