Job Summary

The Administrative Assistant is primarily responsible for answering the phones and scheduling branch individuals while maintaining quality customer service in person and on the phone.

Essential Job Functions

  • First point of contact for all incoming calls within 3 rings – “smile on the phone”
  • Responsible for transferring incoming calls or taking messages for the appropriate individual, if specific to job, documenting message in 365 software
  • Screening sales calls to create efficiency and communicate to appropriate party
  • Scheduling and entering residential and commercial carpet cleanings into the system
  • Final review of all losses for hourly rates and margin goals prior to invoicing
  • Makes the 48 hour call back to customers losses
  • Provides a variety of administrative support to office staff and management
  • Scanning documents into the jobs and documenting appropriate notes into CRM software
  • Displays positive attitude while interacting with customers over the phone
  • Communications jobs to the project managers or lead program coordinator in a timely manner
  • Strong organization and prioritization skills may be times working on multiple projects at once)
  • Data entry for time and material and other projects
  • Other responsibilities directed from Branch Manager

Requirements/Qualifications

Excellent verbal and written communication skills

Advanced math skills level with Microsoft Office, Excel experience is required

High school diploma, 2-4 years in a customer service role or administrative position

Work Environment

This job operates in a professional office environment. This role routinely uses standard office equipment such as computers, scanners, email, phones, photocopiers, filing cabinets and other equipment.

While performing the duties of this job, the employee is regularly required to talk or hear. The employee is frequently required to stand; walk; use hands to finger, handle or feel; and reach with hands and arms.
