DESCRIPTION

Servpro of Stamford, serving the Fairfield County (Norwalk, CT) area is seeking an experienced candidate to fill the role of the Accounts Receivable Specialist. In this role, the successful individual will assist the Controller with accounts receivable responsibilities for a multi-franchise residential and commercial mitigation business.

The Accounts Receivable Specialist is detail-oriented, highly organized, energetic individual who will take the initiative to provide day to day accounting operations in a high volume and fast paced office environment while maintaining a smooth operational paper flow. 

As an Accounts Receivable Specialist, you will be responsible for providing full bookkeeping functions to ensure the efficient operation of the Finance Department. This position is full-time, 40 hours per week on-site at our Norwalk, CT Office.

Essential Duties & Responsibilities

• Generate Servpro invoices in QuickBooks Online that match estimates.
• Allocate the correct tax rates to line items on the invoices.
• Experience with Sales and use tax filing in CT and NY.
• Assist with adjustments and customer refunds.
• Track billed and revised invoice totals daily on an ongoing basis.
• Make daily deposits and process credit card, ACH and debit card payments.
• Post credit card charges to the correct general ledger accounts monthly.
• Send daily updated reports of all payments received.
• Review vendor bills for accuracy and post all vendor bills daily.
• Review and confirm expense reports and other check requests.
• Reconcile vendor statements to ensure AP bills are current and accurate.
• Reach out to vendors as needed to reconcile bills.
• Obtain/provide W-9 and 1099 information as needed.
• Research and resolve payment discrepancies.
• Handle the equipment depreciation tracking.
• Keep track of sales and project management commissions.
• Assist with the month-end closing process.
• Filing and other duties as assigned.

• Other ad-hoc duties assigned and requested by management.

REQUIREMENTS, DESIRED KNOWLEDGE, AND SKILLS:

• 5-8 years proficiency in relevant computer software: QuickBooks Desktop and Online.
• 5-8 years of experience in accounts receivable and general accounting
• Knowledge of Servpro billing is a plus!
• Previous experience in a cleaning, restoration or construction industry is a plus!
• Knowledge of sales and use tax filings.
• Experience with specialized invoicing.
• Knowledge of general accounting principles and bookkeeping procedures.
• Knowledge of regulatory standards and compliance requirements
• Excellent time management skills to prioritize and complete a wide variety of tasks throughout the day.
• Accuracy and Attention to detail is a must.
• Excellent written and verbal communication skills
• Strong organizational and planning skills
• Patience and listening skills to respond appropriately and interact positively with all staff, vendors, and clients.
• Capable of working in a fast-paced, and team-oriented environment.

EDUCATION

• High school diploma, required.
• Associates degree in finance or business administration, preferred.

Schedule:

40 Hours Per Week Shift, in-office required.

Monday to Friday

Overtime Requirement:

We are a 24/7 Emergency Services business. You will occasionally be expected to work nights and weekends to assist our customers in their time of need during storms, cold weather, and other natural or man-made emergency situations.

WORKING CONDITIONS

Environment: This position will be in-office environment; not eligible for hybrid or remote.

Ability to commute:

• Norwalk, CT 06851: Reliably commute or planning to relocate before starting work (Required)

Physical Demands:

Work is performed in an office environment and requires the ability to operate standard office equipment and keyboards. Light work that includes moving objects up to 20 pounds may be required.
