Summary:

This position serves as the primary point of contact for incoming communication and visitors. This person welcomes and greets visitors. This person also makes sure that inbound communication is screened and correctly directed. This person also performs some administrative and clerical tasks to help the office run smoothly.

Essential Job Functions:

• Answer, screen, and direct incoming calls
• Use ERP system and other software to generate invoices and apply freight
• Greet and receive guests, including following safety procedures and controlling gate access to maintain office security 
• Clerical duties such as filing, photocopying, and faxing
• Sort and distribute mail and inter-office envelops
• Use mailing equipment to apply correct postage to outbound mail, including special and certified mailings
• Receive and sort freight bills to be forwarded for payment
• Moving and organizing physical files
• Preparing company mailings, literature, and other outbound communications

Marginal Job Functions:

• Stocking condiments in the main kitchen and water in the conference rooms
• Making sure conference rooms are presentable
• Other duties/responsibilities as assigned

Requirements (Education, Qualifications, Knowledge, Skills, Abilities):

• Associate’s Degree in Business Administration or similar is preferred. Years of relevant experience in a customer-facing or office role may be considered in place of post-secondary education.
• Strong proficiency with Microsoft Office Suite.
• Previous experience working with an ERP system or similar is strongly preferred.
• Ability to interact professionally and courteously with other employees, visitors, vendors, etc.
• Proficient analytical and mathematical skills to perform calculations and catch errors.
• Strong interpersonal and conflict de-escalation skills.
• Strong task prioritization, time management, and organizational skills.
• Ability to problem-solve and multi-task.
• Strong written and verbal communication skills.
• Ability to follow written and verbal instructions.
• Ability to independently complete tasks exactly as directed, including at specified times of day.
