Position Overview:
We are seeking a passionate and innovative Programs Coordinator to join our team and drive our mission forward.
As the Programs Coordinator, you will play a pivotal role in supporting the executive team while overseeing and managing key programs. This role demands a candidate who is an exceptional operator with impressive organizational skills, strong writing, communication, attention to detail (exceptional) and strategic thinking. This individual should be available to sit on strategy meetings and be prepared to develop, assign and execute on tasks while seamlessly navigate both executive support and program management responsibilities.
Responsibilities:
- First and foremost, set the tone for a positive and productive team day
- Make yourself available to ED this includes a flexible daily schedule and a willingness to
initiate projects, reach out to see how you may be helpful and look for guidance when
appropriate
- Manage client relations and follow up
- Follow up with conference contacts and potential partners
- Communicate effectively with marketing team on events, conferences, screenings and
speaking engagements
- Calendar management
- Aid executive in preparing for meetings, presentations, and reports and some grant
management, follow up meeting notes, slide decks and LinkedIn communications
- Responding to emails and document requests on behalf of executives
- R&D on research topics and projects as needed
- Market research, vendor research, and event planning
- Develop and maintain program timelines, budgets, and deliverables.
- Work closely with Business Development manager
- Monitor and evaluate program performance, implementing improvements as needed.
- Facilitate effective communication between stakeholders.
- Identify potential risks and develop mitigation strategies.
- Prepare regular reports on program status and achievements.
Qualifications:
- Bachelor's degree, MS or equivalent experience as an EA for more than 3 years; additional
certification in project or program management is a plus.
- Proficiency in project management tools and software (Asana, Slack, Google Suites)
- Ability to multitask, prioritize, and meet deadlines in a fast-paced environment.
- Flexibility and adaptability to manage a diverse workload.
- Proficient in G Suite
- Experience in managing multiple priorities, administrative coordination, and logistics
