Position Summary

Works under general supervision and processes a variety of documents and forms such as purchase orders, check request, invoices, travel authorizations, expense reports, and other specialized fiscal forms. Performs data entry and maintains specialized computer databases, spreadsheets and similar reports to obtain, verify, update and report accounts payable and/or receivable information, disbursements, journal entries and vendor information.

Pay Grade: 42

Minimum Qualifications

1. Three (3) years of experience in appropriate clerical, bookkeeping, data processing or statistical work; AND

2. High school diploma or possess a GED; OR

3. Two (2) years of experience in appropriate clerical, bookkeeping, data processing or statistical work; and one (1) year of college study (30 semester hours or 36 quarters) from an accredited college or university.

4. PROOF OF EDUCATION, TRAINING, AND/OR EXPERIENCE IS REQUIRED.


Duties and Responsibilities

1. Prepares and maintains documents and forms and checks records for accuracy, completeness, timeliness and compliance with County policies and procedures.

2. Tracks accounting data and operating expenditures and reconciles to records on a scheduled basis.

3. Creates, performs data entry and maintains specialized computer databases and spreadsheets to obtain, verify and update information such as access database reports, excel spreadsheets, accounts payable and/or receivable information and disbursements, journal entries, purchase orders, vendor information and other.

4. Prepares, send/receives invoices and other accounts payable/receivable documents for payment, enters data into excel spreadsheets and/or other programs; produces reports and other documents related to accounting as needed.

5. Reviews request for travel authorizations and travel expense reports for proper approvals, compliance with the Travel Policy, and proper documentation, and processes travel advances and reimbursements as appropriate. Answers questions from County travelers and supervisors about travel rules.

6. Balances and reconciles department records with accounting system when required, reviews financial reports to identify and trace sources of error; researches irregularities and reports to supervisor; and makes adjustments and necessary corrections as directed.

7. Contacts various department/county personnel to resolve discrepancies or problems; answers inquires and resolves problems or discrepancies regarding work being performed, departmental/agency functions, and/or policies and procedures.

8. Identifies unusual situations that require referral to supervisors or higher management personnel.

9. Assists with document imaging of records, using specialized equipment.

10. Performs a variety of general clerical duties; which includes maintaining filing systems; composes/types correspondence, copies, compiles, distributes and files paperwork and records and pulls files and records as needed.

11. Performs other related duties as required or directed.
