We are currently seeking a Billing Specialist (physical and e-billing) for our law firm. The firm is located in the Baton Rouge area. The Billing Specialist will be required to accurately and efficiently prepare, edit and execute monthly prebills and subsequent invoices for submission to clients. One must have a high level of customer service, professionalism, and interpersonal skills, as the role requires various interactions with management and other staff, in addition to firm clients. Expertise in data-oriented spreadsheets and experience handling Trust accounts preferred. Expertise in use of QuickBooks is required.

List of responsibilities include:

• Responsible for all functions of client billing including invoice preparation and maintenance (audit, post, mail or email clients’ invoices) and perform narrative and financial edits.
• Responsible for the e-billing process including submission of invoices electronically, set-up of new e-billing clients, monitor proper submission of e-bills and assistance with the resolution of rejections and short-payments.
• Responsible for the documentation of client billing arrangements and instructions into our accounting/billing system (QuickBooks/Timeslips).
• Ensure proper approval of all write-offs and transfers for our in house CPA to handle.
• Coordinate with CPA in reference to status of bills and provide analytics on open invoices when requested; and assist with resolving uncollectible accounts.
• Respond to inquiries from attorneys, paralegals, clients and legal administrative assistants regarding billing questions.
• Receive, process and post all payments made.
• Maintain and monitor various internal reporting processes, keeping all reports current.
• Customize reports and handle special projects as required.
• Provide back-up assistance when needed in the Accounting Department.
• Perform other duties as assigned.
