Office Coordinator at Anova

Our Office Coordinator is a multi-faceted role acting as the first point of contact for the company and will provide administrative support across the organization. Responsible for handling the flow of guests through the business, acting as a support hub for our entire project team, and serving as an extension of our Expect More philosophy through company engagement and cultural awareness.

Role Expectations and Competencies

  • Role supports project-specific administration needs; lien tracking and notices, external vendor accounts, payments, certified mailings, document/receipt tracking; assists all department areas as needed
  • Responsible for controlling inventory relevant to safety
  • Accurately enter information to send a shipment and make sure everything matches with the address given from the sender, the day & time the sender wants it to be delivered, certified mail, etc
  • Ability to focus on detail without losing sight of the bigger picture, including monitoring and double-checking work and information for accuracy and quality
  • Commitment to providing high-quality service through responsiveness to all requests; always maintaining a professional demeanor. Serve as office help desk for employees and visitors. A central guide and representative for all things Shiel Sexton.
  • Scheduling of all conference rooms; responsible for organizing and booking each conference room–confirm or deny through outlook if the room is available
  • Coordinate miscellaneous internal office events such as new hire lunches or intern farewell lunches; plan and distribute the Wellness Wednesday initiative.
  • Highly proficient with Microsoft Office products, including Outlook, Word, Excel and PowerPoint
  • Familiarity with commercial construction industry is preferred.
  • Other related duties as assigned.

Qualifications

  • This is a foundational position for individuals with excellent verbal, written communication, and public relations skills. Good organizational skills exhibiting positive, friendly, welcoming, and outgoing interpersonal behaviors. Must be dependable and punctual.
  • Ability to multi-task with high level of accuracy is essential.
  • Strong organizational skills, including the ability to set priorities, handle multiple tasks, organize time effectively, conduct research and identify resources for projects
  • Outstanding interpersonal skills, including the ability to work both in groups and individually to meet goals and to develop strong working relationships with internal staff and external constituents
  • High degree of motivation and self-discipline with a strong work ethic. Role autonomy requires the ability to self-manage and take responsibility for competing needed actions independently and proactively.
  • Proven ability to demonstrate sound judgment and discretion in handling confidential information.
  • Skilled in cross-departmental communications and can act as a bridge between project areas as well as an anchor to our headquarters location.
