SIMEDHealth is currently looking for a Full Time Office Coordinator II to join us in our High Springs, FL Primary Care office.

The Office Coordinator is a working supervisor that is responsible for supervising all patient service functions, including patient flow, scheduling, check in/out, referrals, work comp coordinator, medical records, charge posting, fax server, referrals and authorizations, insurance verification and staffing related issues. The Office Coordinator serves as a role model for other front staff and promotes teamwork, integrity and continuous improvement. The Office Coordinator strives to maintain exemplary patient services and satisfaction standards at all times. The Office Coordinator is a highly visible “go to” person that is responsible for creating a positive impression with staff, patients, family members and other visitors to the office.

Qualified candidates will have:

  • High School Diploma REQUIRED
  • AA Degree or higher PREFERRED
  • Proficiency in communication and be well organized REQUIRED
  • Demonstrate extreme proficiency with customer service, communication and creativity REQUIRED
  • 2-5 years in a supervisory capacity PREFERRED
  • 3-5 years previous health care experience PREFERRED
  • Experience in Intergy or similar EMR system PREFERRED

The following is a list of job duties for which you may be responsible:

Coordinator

  • Responsible for the independent management of daily clinic operations
  • Responsible for directly supervising clinic staff
  • Responsible for evaluating employees.
  • May be responsible for providing counseling and disciplinary actions, as needed.
  • May be responsible for hiring/terminating employees with consultation from Division Manager
  • Schedule employees, monitor PTO, ensure clinic is staffed for operation
  • Monitor staff hours, sign off on time cards when needed.
  • Assist with managerial functions as assigned.
  • Work directly with providers, front and back office staff to maintain a consistent patient flow.
  • Responsible for training or coordinating training and orientation for staff members.
  • Shall be trained to fill in and be able perform all the functions of the positions you are supervising.
  • Ensure compliance with OSHA/CLIA/HIPAA and provide training as needed.
  • Ensure compliance with all SIMED policies, procedures and protocols as applicable.
  • Delegate duties and assignments for positive clinic operations.
  • Maintain petty cash, confirm and sign off on all daily batches. Follow appropriate AR Collection procedures.
  • Interact with A/R as needed to resolve patient and insurance payment issues.
  • Oversee scanning of patient charts and documentation into patient charts (delegated as necessary)
  • Monitor Intergy to ensure tasks are being completed for patient care.
  • Collaborate with members of the SIMEDHealth team to resolve patient and operational issues.
  • Order clinic supplies as needed
  • Serve as the clinic representative in the absence of the Division Manager 
  • Attend meetings as required
  • Ensuring clinic is prepared for daily operations (forms, supplies, etc.)
  • Communicate clinical issues with Division Manager or other supervisor
  • Prepare independently or Assist Division Manager in preparing physician credentialing
  • Work with the Division Manager or other member of the administrative team to develop policies and protocols for clinic operations.

Additionally you may be responsible for the following:

  • Scheduling patient appointments 
  • Print daily appointment worksheet
  • Checking patients in/out
  • Answer phone calls in a polite and timely manner.
  • Call insurance companies for authorization and verification; complete patient authorizations as needed.
  • Run necessary reports such as double appointments, double accounts, etc.
  • Make sure schedules are full for the following day.
  • Complete and fax authorization sheets.
  • Reschedule patients when a clinician's schedule changes.
  • Receive consult requests and forward to the assigned clinician.
  • Assist with surgery scheduling as needed and monitor schedules to ensure that surgery schedules are full.
  • Ensure that all voicemails are received daily and responded to within 24 hours.
  • Collecting patient copays, deductibles and coinsurances
  • Scanning medical charts and/or medical documentation into patient charts as needed
  • Monitor the Medical Assistants and delegate tasks accordingly to ensure that patient care is being addressed appropriately at all times.
  • Shall notify immediate supervisor in case of sickness, upcoming vacation, or personal days off work.
  • Other division specific duties may be assigned as needed.
