Job Summary
The Academic Staffing Specialist is a key member of the College of Natural, Behavioral and Health Sciences (CNBHS) Operations team, with a focus on the graduate programs within the School of Nursing (SON). The SON is a complex part of CNBHS' portfolio, with large programs at the undergraduate and graduate levels in both on-ground and online modalities, and extensive operational and staffing needs. Reporting to the Assistant Director of Operations for Nursing, and in collaboration with campus partners such as Registrar, Human Resources, and Admissions, the Academic Staffing Specialist supports nursing leadership as main contact/liaison for all Graduate Nursing full-time and adjunct faculty staffing, section planning, scheduling, and compliance support.
Essential Responsibilities
Staffing/Scheduling
Work closely with CNBHS Operations, Graduate Nursing Advising and the Registrar's Office to identify staffing needs for upcoming terms/semesters to inform recruitment & specific staffing needed to meet BON compliance
Get direction on course schedules each term, including synchronous class meeting times, from faculty leadership (for on-ground Graduate Nursing) and @Simmons Registrar point of contact (for online Graduate Nursing) to inform staffing needs
Identify & confirm through surveys and spreadsheets qualified individuals within the faculty pool who meet schedule needs each term
Liaise with HR and CNBHS Operations team to facilitate Graduate Nursing faculty offer letters/contract details term by term, and manage changes
Work with CNBHS Operations Director on annual contract renewal process for full-time faculty in Graduate Nursing
Notify instructors of section cancellations or changes to section schedules/course times
Compliance/Data Tracking
Track all Graduate Nursing faculty (adjunct and full time) workload/overload, and relative staffing data, in coordination with CNBHS Operations, to ensure staffing complies with ACA standards, the Faculty Policy Manual, and program leadership's expectations
Collect and maintain a database of all Board of Nursing, CCNE, and other accreditation-required files to ensure compliance with all applicable regulations on a term by term basis. Materials include, but are not limited to: licensure verifications, certifications, academic credentials and records, health documents, etc.
Report data on nursing faculty including number of adjunct and full time instructors, degree information, credentials, and experience to be used for accreditation and marketing purposes
Provide staffing metrics, trends, and research-based recommendations to key stakeholders within the University
Audit payroll each term to ensure accurate payments to adjunct and full time instructors
Sourcing/Recruiting
Support Graduate Nursing leadership with faculty postings and job descriptions, in concert with Human Resources/Talent Acquisition and CNBHS Operations
Review applicant resumes, interview potential candidates in coordination with Nursing leadership, coordinate interview schedules and committee interviews, and partner with academic leadership to facilitate hiring decisions and with HR to coordinate the onboarding process
Work with Graduate Nursing leadership each term/semester to identify, interview, recommend faculty to fill all open positions, including Didactic, Clinical Decision-Making (CDM), and course lead roles
Build and maintain a pool of qualified adjunct faculty to teach in the Graduate Nursing programs
Monitor faculty rosters for each class, and recruit for new instructors as needed to ensure adequate course coverage in upcoming terms; may collaborate with Human Resources/Talent Acquisition on recruiting needs/support
Qualifications & Skills
Bachelor's degree required or equivalent work experience required;
Minimum 2 years of relative professional experience required; experience in staffing and/or operations desired;
Prior experience in higher education and/or digital or online learning platforms a plus;
Strong proficiency with Microsoft and Google Applications, along with an aptitude and interest in learning new tools and software;
Demonstrated meticulous attention to data integrity and accuracy required;
Demonstrated ability to handle sensitive data and issues, and maintain confidentiality;
Ability to multitask, adapt to changing priorities, and demonstrated ability to adhere to and meet deadlines.
Position Details: This is a full-time exempt position that is benefits-eligible. This position may be eligible for partial or full remote work.
