Summary

This position provides administrative support to Simpson Housing Services (SHS) housing programs for families and individuals by providing a high level of customer service to participants, staff, and property managers. SHS is seeking a candidate excited about utilizing their service mindset to provide high quality contributions to a team. This position supports rental subsidy administration to approximately 150 participants. This position requires an organized, detail-oriented team player.

The goals of SHS housing programs are to provide stable housing and effective support services to families and individuals experiencing homelessness. Simpson staff are expected to actively work toward an anti-racist culture at Simpson Housing Services and within the broader community.

NOT A REMOTE POSITION . Full-time, 40 hours per week, hourly – in office position. *After 90 day probation period, there is possibility for some remote hours: Employees working in administrative positions are required to work a minimum of 60% (24 hours per week) in the office.

Responsibilities

Support rental subsidy administration:

  • Know and understand program requirements for rental assistance administration for time limited housing programs.
  • Prepare rental contract materials for staff and participants in assigned housing programs
  • Ensure completion of all required documentation for rental subsidy administration.
  • Complete financial calculations for new move ins, recertifications, and exits.
  • Complete and send letters to property managers and participants as required
  • Work in collaboration with the Operations Support Team to track and ensure accurate rental assistance administration and documentation.
  • Meet regularly with Program Managers and teams to coordinate rental assistance administration.
  • Complete monthly requests for payment to Minnesota Housing for Rental Assistance Program, final review by OST Manager

Support program quality:

  • Monitor the Team email inbox, and triage the customer support requests
  • Complete regular review of individual files, ensuring required rental assistance documentation is uploaded completely and accurately.
  • Work as a part of the Operations Support Team to provide trainings for new staff and on an ongoing basis as needed.
  • Provide data entry support to staff as needed.
  • Communicate data quality needs to Program Managers and staff.
  • Cross-train and provide back-up support for the housing support Program Support Specialist
  • Coordinate relationships and payment with Bridging, St. Thomas, and My Very Own Bed

Coordinate HQS inspections for certain programs:

  • Coordinate Housing Quality Standards (HQS) inspections with contracted HQS inspectors, on all properties as required Housing Trust Fund (HTF) programs including new move ins, re-inspections, and annual re-certification inspections.
  • Upon receipt of HQS inspection and list of needed repairs from inspector, notify property owners of necessary repairs and follow up to ensure compliance. Coordinate re-inspection as needed. Report all non-compliance to the Operations Support Team Manager.

Complete required documentation and recordkeeping:

  • Complete documentation of contact with or on behalf of participants in timely manner.
  • Maintain accurate records inclu ding time sheets, travel expenses and billing information.
  • Maintain client records in electronic form.

Public relations/networking/liaison:

  • Communicate and coordinate services with team members and attend team/other meetings.
  • Develop and maintain positive working relationships with staff and all partners.
  • Network with providers of similar services.

Demonstrate essential knowledge, abilities, and skills:

  • Possess strong computer skills, with experience in Microsoft Office.
  • Demonstrate ability to learn and use computer database for client records.
  • Ability to work very well independently, with excellent skills in teamwork and collaboration
  • Ability to be flexible and manage time
  • Knowledge of Harm Reduction/Housing First Model and commitment to that model
  • Commitment to working toward an anti-racist culture both within Simpson Housing Services and the broader community.
  • Ability to communicate respectfully, positively and professionally with participants, providers, family members and others who are diverse with respect to race, ethnicity, gender identity, sexual orientation, socio-economic status, and religion
  • Ability to maintain confidentiality and boundaries in all interactions with participants, volunteers, staff and public
