Position overview:

SLAC’s Facilities and Operations Division manages one of the world’s premier science facilities on a 400-acre Stanford site with 150 structures for the Department of Energy. Our Fleet Management team is seeking an energetic member with experience in DOE Fleet Program Management. Members of this team are responsible for providing customer services for multiple Science Directorates in support of 1600 staff and associated facilities. This position reports to the F&O Associate Director of Operations.

Your specific responsibilities include:

  • Perform fleet management functions as the designated fleet program manager, including scheduling and coordinating maintenance actions, loaning, and receiving vehicles to lab population, and coordinating intake of new GSA or SLAC purchased vehicles.
  • Prepare and administer monthly, quarterly, and annual reporting document reporting process and ensure available for review and reference.
  • Provide accurate data to SLAC Sustainability for Emissions and Energy Management.
  • Actively participate in annual CAM (Customer Acquisition Module) process to obtain the most efficient and effective vehicles for SLAC. Meet executive order for zero emission vehicles.
  • Create reporting dashboard for Fleet reports for visibility by management.
  • Coordinate active work orders and work requests with three shops and coordinate closure of work orders, ensuring appropriate time is captured and funding is accurate in each record. Increased responsibilities to ensure Nuvolo work order close out, assessing PM calendar, tracking down tech/lead work order activities, drafting Nuvolo reports, assign work orders, support 90 day close out of all SR, supporting to achieve 70% PM, and track purchases in Nuvolo.
  • Perform specialized, diverse work activities and coordinate solutions, working independently, solely supporting the operations, maintenance, repair, upkeep, inventory tracking, and refurbishing activities related to the physical environment and building systems of a complex facility.
  • Maintain high-level client relations with building managers and business managers, representing all of Facilities and Operations.
  • Provide excellent customer service, managing all building and space work requests and service calls, for a building or complex of buildings.
  • Facilitate program management standards and adhere work planning to site safety standards.
  • Participate in site-wide cleanup projects.
  • Suggest metrics, monitor and report related trends; perform condition assessments on appearance, equipment, or troubleshooting.
  • Identify, recommend & implement building operations & process modifications to the facility for increased productivity and/or cost reduction, manage related budget; coordinate maintenance logistics (to avoid faculty conflicts, events).
  • Manage property administration by troubleshooting, completing tagging, data entry & inventory; completing purchase orders, receiving; completing record keeping; establishing tracking system, gathering information and, information gathering and support for space allocation decision makers.
  • Other duties may also be assigned.

To be successful in this position you will bring:

  • Bachelor’s degree and five years related, demonstrated technical facilities management experience, or a combination of education and relevant experience.
  • Experience in program management and project management of moderate size/complexity with limited performance risk, including project planning, scheduling, tracking, budgeting is strongly preferred.
  • Analytical skills to analyze and track equipment and financial data.
  • Interpersonal skills, mature judgment required to interact effectively with a broad range of people, including faculty and vendors, both individually and in groups.
  • Ability to coordinate and manage multiple projects with competing priorities, meet deadlines and project plans with short- and long-term end dates.
  • Working knowledge of applications such as Excel, Word, PowerPoint, Project.
  • Experience working with internal and external vendors and services contracting.
  • Background knowledge of safe handling and disposal of chemicals and hazardous waste; emergency preparedness plans and their implementation; and property administration specific to PO tracking, receiving, and inventory control.
  • Certifications and Licenses: Valid California Non-commercial Class Driver’s license.

The expected pay range for this position is $84,000 - $128,000 per annum. SLAC National Accelerator Laboratory/Stanford University provides pay ranges representing its good faith estimate of what the university reasonably expects to pay for a position. The pay offered to a selected candidate will be determined based on factors such as (but not limited to) the scope and responsibilities of the position, the qualifications of the selected candidate, departmental budget availability, internal equity, geographic location, and external market pay for comparable jobs.
