As a Patient Relations Coordinator specializing in Treatment Follow-up, you will play a vital role in ensuring that patients who have expressed interest in starting treatment receive the necessary guidance and support to initiate their orthodontic journey. Your primary responsibility will be to engage with patients, address their concerns, and facilitate the process of getting started with treatment. This position requires excellent communication skills, empathy, and a customer-centric approach.

Key Responsibilities:
1. Patient Engagement and Communication:
- Reach out to patients who have expressed interest in starting orthodontic treatment, whether through inquiries, consultations, or treatment plan discussions.
- Act as the main point of contact for patients, providing information, answering questions, and addressing concerns related to treatment initiation.
- Establish rapport and build strong relationships with patients by actively listening, demonstrating empathy, and offering personalized support.
- Utilize various communication channels, such as phone calls, emails, and in-person meetings, to ensure effective and timely follow-up.

2. Treatment Coordination and Support:
- Collaborate with orthodontists and clinical staff to gather necessary information and coordinate treatment initiation for patients.
- Assist patients in understanding treatment options, associated timelines, and financial considerations.
- Schedule initial appointments, including consultations, records collection, and treatment plan discussions.
- Ensure patients have a clear understanding of the steps involved in getting started with treatment and provide guidance throughout the process.
- Coordinate with the clinical team to prepare treatment chairs and ensure all necessary records and materials are available for the patient's visit.

3. Administrative Duties:
- Maintain accurate and up-to-date patient records, documenting all interactions and progress related to treatment initiation.
- Collaborate with the billing and insurance department to provide accurate cost estimates, verify insurance coverage, and assist with financial arrangements.
- Facilitate the completion of necessary forms, consent agreements, and other documentation required for treatment initiation.
- Utilize practice management software and tools to manage patient information, appointments, and communication logs.
- Collaborate with other team members to ensure a seamless patient experience and maintain a positive work environment.

Qualifications and Skills:
- Experience in sales or previous patient coordination experience is preferred; a college degree or certification in a related field is a plus.
- Prior experience in a customer service or patient relations role, preferably in a healthcare or dental setting.
- Excellent interpersonal and communication skills to build rapport and connect with patients effectively.
- Empathy and a compassionate approach to address patient concerns and provide support throughout the treatment initiation process.
- Strong organizational skills to manage multiple patient interactions, appointments, and administrative tasks.
- Familiarity with dental terminology and orthodontic treatment processes is desirable.
- Proficiency in using practice management software and tools to manage patient information and appointments and desire to learn our orthodontic software and become proficient.
- Ability to work independently, take initiative, and prioritize tasks to meet deadlines.
- Commitment to maintaining patient confidentiality and adhering to ethical standards.
