DescriptionOur Office Manager will lead our team, overseeing our staff and providing excellent care for our patients. This position will have full accountability for achieving financial objectives, operating efficiency, and excellence in patient care. The Office Manager will achieve results by building high-performing teams, identifying, implementing and maximizing growth opportunities, identifying and implementing marketing programs, identifying areas of weakness and developing and implementing plans to correct them, maximizing staff efficiency and production, maximizing efficiency of practice expenses such as material and supply costs and continuously analyzing and cutting costs where possible. The Office Manager will also be involved in the process of identifying new staff members and the process of terminating employees as needed.
Key TaskThe requirements listed below are representative, but not all inclusive, of the knowledge, skill, and/or ability required. All tasks assigned are not limited to other dental assistant duties. All team members will be cross trained to be able to flow together seamlessly throughout a work day.
  • Create, establish and manage internal office protocols and procedures to ensure office efficiency
  • Greet and serve all patients as they arrive (or direct other staff to do same)
  • Motivate office personnel to serve patients
  • Provide the Dentist with administrative and practical support when asked
  • Respond efficiently to patient and doctor needs and inquiries
  • Ensure the delivery of quality dental care to patients
  • Resolve patient issues in accordance with company policies and procedures, healthcare regulations and dental board standards
  • Manage patient scheduling and direct patient traffic flow
  • Present treatment plans to patients
  • Organize and present financial arrangements to patients
  • Arrange payment schedules with patients
  • Train, develop and performance manage staff to meet performance standards
  • Determine staff schedules and ensure operational standards are met
  • Manage employee relations and make certain staff have the necessary resources and support
  • Monitor and maintain the office budget
  • Organize and oversee supply purchases, equipment upgrades and operations expenses
  • Complete administrative functions including bank deposits, and invoice processing
  • Oversee collections and accounts receivable
  • Write business correspondence and reports
  • Run and analyze management reports
  • Support marketing and promotion initiatives
  • Maintain patient data according to regulations and company policies
  • Ensure that records are stored securely and in compliance with privacy and security regulations
  • Take responsibility for the appearance and functionality of the office
  • Maintain facilities and equipment in accordance with hygiene and safety regulations including OSHA
  • Efficient and knowledgeable in Dentrix operating system
  • 2 Saturdays a month are required
Requirements
  • High school diploma/GED required
  • 5 years’ dental management experience required
  • Working knowledge of dental billing and insurance protocols
  • Excellent customer service and leadership skills
  • Ability to multi-task efficiently
  • Excellent computer and typing skills
  • Bilingual in Spanish is required
