Description

Position Summary: Describe below the primary purpose and function of this position.
The Registrar plays a pivotal role in the efficient operation of the college by managing academic records, coordinating course scheduling, facilitating registration processes, and ensuring compliance with institutional policies and regulations. They serve as a central point of contact for students, faculty, and staff regarding academic matters and provide support to various academic departments.
Qualifications

Graduation from an accredited institution with a bachelor's degree required; Master's degree in higher education administration, student affairs, or related field preferred.Previous experience in academic administration, student services, or registrar's office preferred.
  • Bachelor's Degree (Master's Preferred)
  • Five or more years working in higher education leadership
  • minimum of three years experience in a Registrar Office capacity
  • Full operational knowledge of FERPA
Major Responsibilities/Duties

1. Academic Records Management:
  • Maintain accurate and up-to-date records of student academic progress, including grades, transcripts, and graduation requirements.
  • Oversee the secure storage and retrieval of academic records in compliance with applicable laws and regulations.
  • Coordinate the issuance of official transcripts, diplomas, and other academic credentials.
2. Course Scheduling:
  • Collaborate with academic departments to develop class schedules for each academic term, considering factors such as faculty availability, classroom space, and student demand.
  • Ensure that course offerings align with program requirements and meet accreditation standards.
  • Monitor enrollment trends and adjustment to course schedules as needed to optimize student access and academic resources.
3. Registration Services:
  • Develop and implement registration procedures, including online registration systems and in-person registration events.
  • Assist students with course selection, registration processes, and academic planning.
  • Resolve registration-related issues and conflicts in a timely and efficient manner.
4. Academic Policy Compliance:
  • Interpret and enforce institutional policies and procedures related to academic registration, enrollment, and graduation.
  • Stay informed about changes in academic regulations and accreditation standards, communicating updates to relevant stakeholders.
  • Provide guidance and training to faculty, staff, and students on academic policies and procedures.
5. Student Support and Advising:
  • Serve as a resource for students seeking information about academic programs, degree requirements, and transfer opportunities.
  • Provide academic advising support, including degree audit reviews and course planning assistance.
  • Collaborate with counseling services and academic advisors to support student success and retention efforts.
6. Reporting and Data Management:
  • Generate reports and analyze data related to enrollment trends, academic progress, and graduation rates.
  • Contribute to institutional research efforts by providing accurate and reliable data for accreditation reviews, program assessments, and strategic planning initiatives.
  • Ensure compliance with data privacy regulations and best practices for data security and confidentiality.

  • Academic Policies and Regulations: Understanding of academic policies, regulations, and procedures governing areas such as registration, enrollment, grading, and graduation requirements at the community college level.
  • Higher Education Administration: Familiarity with the structure, functions, and operations of community colleges, including administrative processes related to student records, academic programs, and institutional accreditation.
  • Student Information Systems (SIS): Proficiency in using student information systems and database management software to maintain accurate academic records, generate reports, and facilitate registration processes.
  • Data Privacy and Security: Knowledge of laws, regulations, and best practices related to data privacy, security, and confidentiality in handling sensitive student information and academic records.
  • Technology Skills: Competence in utilizing various technological tools and platforms for communication, data analysis, and information management, including Microsoft Office Suite, database management systems, and online registration systems.
  • Educational Trends and Best Practices: Awareness of current trends, issues, and best practices in higher education, including innovations in academic advising, student support services, and enrollment management strategies.
