What are the responsibilities and job description for the Associate Property Manager position at Solhem Companies?
The Associate Property Manager is well-versed in all aspects of the leasing process and is proficient in a variety of property management tasks, with a desire to learn and grow into a true team leader.
The Associate Property Manager works closely with and reports to the Property Manager. This position requires continual learning and a willingness to step in where needed. The responsibilities for the position are detailed in two categories, Property Management and Leasing.
Property Management Responsibilities
Manage the Solhem Resident Experience - Engage, Convert, Renew
Engage
- Contributes to the achievement of sales and marketing goals and financial objectives
- Makes recommendations for short- and long-term marketing goals and objectives
- Collaborates with branding team on digital/print advertising and marketing efforts
- Maintains a comprehensive working knowledge of competitors’ market positioning
Convert
- Contributes to the work of the Leasing Team and perform these duties as needed (see below)
- Assumes responsibility for incoming emails, phone calls, and on-site visits
- Generates leases in line with best practices and ensure execution within company-dictated timelines
Renew
- Provides exceptional customer service throughout all experiences in the resident lifecycle
- Assists with the collection of all rents, deposits and income generated by the property
- Manages resident behavior, complaints, concerns, etc. (“pop-ups”) to ensure building harmony in accordance with resident lease terms
- Effectively resolves situations or complaints from residents
- Communicates with residents in a manner that is consistent with Solhem’s expectations for excellence and professionalism
- Maintains thorough documentation of resident behavior, complaints, concerns, etc., tracking problematic resident issues - Maintain and update resident Entrata files with relevant documentation including financial notifications, lease warnings and violations and maintain their confidentiality
- Coordinates move-ins, move-outs, and unit turnover processes on time and on par with Solhem expectations
- Solicits referrals and requests reviews from satisfied residents
- Plans resident events/opportunities for community building
- Cultivates relationships with tenants through regular interaction to ensure that objectives are being met
- Manages monthly lease renewal negotiations
- Contributes to achieving a retention rate on par with with annual property retention goals
Assumes Responsibility for the Condition and Cleanliness of the Property
- Ensures that the physical condition of the property is pristine, in line with Solhem standards
- Ensures the physical condition of the property is well-maintained and free of potential hazards
- Maintains good curb appeal, pickup litter, manage other aspects of property presentation
Manages Property Budget to Achieve Financial Performance Goals
- Manages purchasing of supplies and services provided by vendors
- Monitors and approves expenses
- Makes recommendations to rent price changes to maximize profits and ensure high occupancy
- Meets or exceed financial objectives
Additional Responsibilities
- Compiles management reports that summarize and provide insights into the property’s performance to ownership
- Maintains an excellent understanding of lease language
- Maintains thorough understanding of relevant city/state policies, and stays up-to-date on policy changes
- Ensures compliance with Solhem LLC policies and procedures, including federal and local Fair Housing regulations
Leasing Responsibilities
Acts as a “brand ambassador” by embodying the Solhem spirit in each and every interaction with the prospective resident.
- Warmly greets prospective residents, qualifies (if walk-in, otherwise pre-qualifies over the phone and/or in email), determines needs and preferences, and professionally presents community and specific apartments while providing features and benefits
- Answers incoming telephone calls professionally and genuinely, and handles accordingly (prospect calls, resident issues, service requests, etc.)
- Ensures that the office, community amenities/tour route, model apartment and market-ready vacant apartments are in perfect condition for touring
- Completes follow-up callbacks (and/or emails) with prospects after initial community visits
- Maintains online listings (i.e. Craigslist, Zillow, all relevant ILS platforms)
- Communicates with prospective residents in a manner that is consistent with Solhem’s expectations for excellence and professionalism
- Cleans, vacuums and dusts before it is needed
- Has a good eye for design and detail that can translate to floral arrangements, staged model layouts, art displays, etc.
- Maintains an accurate and in-depth knowledge of all aspects of the community, particularly in areas such as rent and pricing information, vacancies, apartment availability, lease expirations, square footage, etc.
- Effectively explains all lease and community policies to new and current residents
- Regularly tours neighboring properties to gather market comparative intelligence
- Collects and updates market comparables for rental rates, community policies, and other relevant market insights
- Understands and complies with federal and local landlord-tenant Fair Housing laws and standards
- Strives to continuously exceed prospective and current resident satisfaction
This is a full-time position with typical working hours between 10am-6pm Monday-
Friday. Some evening and weekend work is required.
Much of the day is spent in an office environment, however, you will regularly be required to complete tasks away from the office and possibly outdoors.
