We are a reputable and patient-focused medical practice committed to providing exceptional service in a welcoming and supportive environment. Our team is dedicated to making every patient’s experience as smooth and comfortable as possible. We are looking for an organized and detail oriented Administrative Assistant to join our practice.
Job Description:
As the primary administrative staff assigned to a single physician, you will be responsible for tracking the doctor’s schedule and ensuring all medical records and reports are assembled and processed efficiently and accurately.
On appointment days (1-3 days/week), you’ll provide a warm and welcoming check-in experience, verify the accuracy of paperwork, and work with patients to complete any missing information before their visit with the doctor. Additionally, you will anticipate and monitor the office's physical environment to ensure it is clean, organized, and pleasant for everyone.
Key Responsibilities:
- Prepare and organize medical paperwork and charts.
- Contact patients prior to appointments to verify and aid in paperwork completeness.
- Communicate with referring clients to transfer records & reports.
- Provide a warm and professional check-in experience for patients.
- Verify that all patient paperwork upon arrival is correct and complete; assist in any missing information.
- Work as a team with our main office on scheduling, workflow, and medical records.
- Anticipate and monitor the office environment, ensuring it remains clean, organized, and welcoming.
- Re-stock office supplies, maintain a professional and tidy office environment.
- Other tasks as assigned.
Qualifications:
- Strong organizational skills and attention to detail.
- Strong computer skills with proficiency in MS Office Suite (Word, Excel, Outlook).
- Excellent communication skills, both written and verbal.
- Write professional emails and proof-read reports.
- Ability to work independently and as part of a team.
- Professional attitude and appearance.
- Preferred: Previous experience in a medical office or healthcare setting.
