Soundstart, LLC is looking for an experienced professional, energetic, detail oriented, organized, and driven team player to join our team in a Medical Front Office Supervisor role. This role is a full-time position with a 45 hour per week mentality. We are specifically seeking candidates looking to play a major role in a small family-owned private practice for children with disabilities. This role has a ton of opportunity, growth potential, and for the right person a career trajectory!

Our ideal team member is someone who works extremely efficiently, brings strong expertise in management of clinic operations, is reliable and accountable, and is a strong communicator who is driven by being part of a purpose-driven pediatric therapy business model.

Please be aware we are looking for someone with a proven track record of at least five years in optimizing operations including scheduling, credentialing, marketing, authorizations, eligibility/benefits, referrals, and clinic growth. We are seeking candidates with expertise in improving policies and procedures clinic-wide to optimize revenue streams.

The right candidate will be a natural self-starter with strong attention to detail. We will train on specific task items listed below, though the right fit will quickly and easily pick up responsibilities and manage them on their own. Responsibilities:

● Create and maintain an incredible work culture that stimulates staff enthusiasm, collaboration, and rapport between colleagues.

● Create and maintain an incredible patient experience and culture that stimulates positive reviews and referral growth.

● Collaborate and report to the executive leadership team to ensure all operations are functioning at the highest level and support any projects, activities, and responsibilities that further the progress of the clinic.

● Facilitate and oversee the entire intake, customer service, and patient onboarding experience to increase patient census, scheduling, and overall growth to multiple clinic locations.

● Use your sales and empathy skills to engage and influence parents to make the best decisions for their child’s progress.

● Ensure therapists are well supported by maintaining inventory through collaboration with staff and clinic leads.

● Speak with clients, their families, clinicians to assist in resolving any issues that may arise.

● Talent management: Recruiting, vetting, selecting, hiring, onboarding, training, promoting, disciplining, paying and firing employees.

● Oversee and train front office staff and collaborate with authorizations, billing, scheduling, clinicians.

● Ensuring HR compliance- Keeping up to date with laws that may affect the company and its employees.

● Maintaining Workplace safety and cleanliness.

● Performance management: Communicating and clarifying job responsibilities, priorities, and performance expectations.

● Culture building/team retention/ team-building activities.

● Oversee employee benefits.

● Develop clinic policies and procedures.

● Review time cards.

● Run payroll bi-weekly.

● Assist in setting and achieving departmental and company goals.

● Increase transparency by communicating with staff/team regarding changes in policy, trainings, safety, benefits, etc.

● Regular meetings with staff to assure their needs are being met. 1 month, 3 month, 6 month, annually check-ins with all staff during their first year and quarterly meetings for subsequent years.

● Assist lead therapists and admin in leading monthly team meetings and actively participate/lead in manager’s meetings weekly.

● And any additional duties that the leadership team assigns as appropriate.

Requirements:

● Strong leadership background

● 5 years of administrative and operational management in healthcare, or related experience

● Extremely intelligent and detail-oriented

● Strong work ethic

● Does not get rattled easy and incredible at multitasking

● Results-oriented

● Experience in pediatric therapy operations (preferred)

● EMR Experience preferred

● Strong technology and computer skills
