THE OFFICE OF PUBLIC INSTRUCTION IS NOW REQUIRING ALL PARAEDUCATORS TO PROVIDE A COPY OF THEIR HIGH SCHOOL DIPLOMA AND / OR HIGH SCHOOL TRANSCRIPTS OR GED TO MEET TITLE 1, PART A FEDERAL LAW REQUIREMENTS.

Purpose Statement

The job of Support Specialist - Administration Office is done for the purpose / s of providing comprehensive

support across community engagement, student and family support, volunteer compliance, and the

Superintendent's office as well as services and functions to visitors of the Administrative Office.

Essential Functions :

  • Assists the district Public Information Officer (P.I.O.) as a liaison with media, families, students, staff, and community, for the purpose of providing accurate and timely information and services to staff, families, and community;
  • Assists the administrative functions of designated departments and / or projects (e.g. compiles and communicates data / information, processes / prepares documents, distributing mail / materials, purchasing / payments / budget reports, travel accommodations, work orders, timecards, meeting room scheduling and setup, etc.
  • for the purpose of ensuring accurate information / records, compliance, support and positive customer service;
  • Assists the Superintendent, Executive Assistant to the Superintendent, Board of Directors, Community Relations, Student Support, and other administrators for the purpose of supporting department / district projects and initiatives, along with the flow of information and services to staff and community;
  • Assists with communication, processing, and documentation of district Choice Transfer and Open Enrollment request for the purpose of supporting district students and families;
  • Attends meetings, events, and trainings for the purpose of providing agendas, taking minutes, providing information, upgrading skills, and gathering information;
  • Coordinates with school site staff to develop a strong volunteer base, create resources, promotional materials and to highlight volunteer and community group events (e.
  • g. new and innovative volunteer opportunities, etc.) for the purpose of growing and supporting the volunteer program;
  • Maintains online district calendar of activities and events in cooperation with individual schools and programs for the purpose of ensuring accurate and timely information to staff, families, and community;
  • Maintains Community Relations and Superintendent's Office records for the purpose of providing accurate information, support administrative requirements, and confidentiality;
  • Maintains administrative office reception area and operates communication equipment (e.g. district-wide central telephone system, bus and emergency radio system, intercom system, etc.
  • for the purpose of providing timely and accurate communications to all stakeholders;
  • Maintains current knowledge of available resources and services (e.g. McKenny-Vento, Choice Transfers, open enrollment, Community Relations, Public Record Requests, etc.
  • for the purpose of effectively and promptly supporting districtwide inquiries from various lines of communications;
  • Oversees, supports, and monitors district website content / information, and updates to district website with current student, staff and community related events, trainings (e.

g. Superintendent's and Parent Partnership pages, etc.) for the purpose of providing timely information.

  • Prepares and supports copying, editing, layout, photography, production, and distribution of district publications including newsletters, brochures, fliers, handbooks, reports, bulletins, media releases, advertising, radio, electronic communications, and other communications on behalf of Community Relations and the Superintendent for the purpose of providing information and services to students, staff, families, and community;
  • Process, documents, and monitors district volunteer applications. Communicates current volunteer related information and resources with school and department staff for the purpose of ensuring accurate records, eligibility, and compliances;
  • Provide direct support to students, staff, families, community members, vendors, etc. for the purpose of addressing inquires and connect stakeholders with appropriate resources and services.

Support communication between families and school / department personnel, ensuring a responsible and supportive interaction with the goal of providing world-class customer service.

Other Functions :

Performs other related duties as assigned (e.g. answering phones, assisting District Office visitors, and general customer service, etc.

Job Requirements : Minimum Qualifications

Skills, Knowledge, and Abilities

SKILLS are required to perform multiple tasks with a need to occasionally upgrade skills in order to meet changing job conditions.

Specific skill-based competencies required to satisfactorily perform the functions of the job include : preparing and maintaining accurate records;

operating standard office equipment; and utilizing pertinent software applications; webpage maintenance; verbal de-escalation techniques.

KNOWLEDGE is required to perform basic math, including calculations using fractions, percents, and / or ratios; understand written procedures, write routine documents, and speak clearly;

and understand multi-step written and oral instructions. Specific knowledge-based competencies required to satisfactorily perform the functions of the job include : business telephone etiquette.

ABILITY is required to schedule activities and / or meetings; gather, collate, and / or classify data; and use basic, job-related equipment.

  • Flexibility is required to work with others in a wide variety of circumstances; work with data utilizing defined but different processes;
  • and operate equipment using defined methods. Ability is also required to work with a wide diversity of individuals; work with similar types of data;

and utilize specific, job-related equipment. Some problem solving may be required to identify issues and select action plans.

Problem solving with data may require independent interpretation; and problem solving with equipment is limited. Specific ability-based competencies required to satisfactorily perform the functions of the job include : maintaining confidentiality;

adapting to changing priorities; working with frequent interruptions; communicating with diverse groups; and displaying tact and courtesy.

Responsibility

Responsibilities include : working under limited supervision following standardized practices and / or methods; providing information and / or advising others;

tracking budget expenditures. Utilization of some resources from other work units is often required to perform the job's functions.

Work Environment

The usual and customary methods of performing the job's functions require the following physical demands : some lifting, carrying, pushing, and / or pulling, some stooping, kneeling, crouching, and / or crawling and significant fine finger dexterity.

Generally the job requires 80% sitting, 10% walking, 10% standing. This job is performed in a generally clean and healthy environment.

Experience : Job related experience with increasing levels of responsibility is desired.
