Our Opportunity
(SPSCC) seeks highly motivated and qualified candidates for the position of Fiscal Specialist 2 in Athletics.
The Fiscal Specialist 2 provides fiscal support using independent judgment in the interpretation and application of a variety of rules and procedures in specialized fiscal functions. This includes processing and advanced troubleshooting transactions related to invoice vouchers, purchase requests, travel authorizations/vouchers and related work for the Athletics Department. This position provides fiscal support to the Athletics Department and services to student athletes, students, athletic staff, coaches and Athletic programs.

What You'll Do

Provide fiscal support on behalf of Athletics staff and programs:
  • Respond appropriately and timely to inquiries regarding fiscal processes, purchasing, and services provided by the Athletics department.
  • Monitor, reconcile, and manage check-out and expenditure reporting processes for Athletics procurement cards (multiple P-Cards, Foundation Credit Card, other discretionary accounts).
  • Provide fiscal support to Athletics budget recipients regarding student travel, contingency fund proposals and Athletics purchases.
  • Prepare and review expenditures for purchasing and other financial documents for accuracy.
  • Initiate supply orders and purchase orders; create purchase requisitions.
  • Collect, record, and deposit revenue for Athletics budgets. Budgets include over eleven Athletics dedicated accounts and seven Foundation accounts.
  • Ensure payments are made to third party vendors to include preparing purchase requests, monitor invoices, communication, and payments.
  • Troubleshoot open invoices in ctcLink, initiate payment request communications as needed with the Business Office
Budget Review and Reconciliation:
  • Develop budget estimates, monitor, reconcile, initiate and control budget expenditures for Athletics.
  • Prepare monthly budget status reports and inform the Director and Assistant Director of Athletics and budget recipients regarding budget status and advise of areas of concern.
  • Perform analysis and reconciliation of Athletics budgets applying appropriate coding.
  • Initiate corrective action as needed.
  • Prepare, track and reconcile Athletics budgets monthly
  • Prepare, track and reconcile P-Card logs monthly
  • Provide fiscal and clerical support to the annual Athletics budget development process.
  • Create and maintain spreadsheets and databases, e.g. inventory and budgets.
  • Monitor budget statements to track expenditures and reconcile discrepancies
Provide clerical support to the Athletics Department
  • Provide administrative support to the Director and Assistant Director of Athletics; including schedule meetings, calendar management, travel arrangements, purchasing, contracts, and reimbursements.
  • Provide clerical support to the Director and Assistant Director of Athletics. This includes, but is not limited to: creating forms; sending mailings; reserving space for workshops and events; verifying accuracy of documents turned in by students; and other clerical duties as needed.
  • Prepare, proof, and edit reports, correspondence, contracts and other documents as requested. Maintain accurate and organized filing systems and ensure filing is up to date.
  • Works with other college units such as Purchasing, Facilities, and Information Technology to ensure accurate and timely procurement of materials and services.
  • Record, distribute, and maintain meeting minutes for program committees and other meetings as requested.
  • Utilize Microsoft Office Suite to create documents and presentations.
  • Gather and assist Director and Assistant Director with appropriate data and information for college and Northwest Athletic Conference reports, forms, and other documents.
  • Coordinate all travel arrangements for Athletics.
Serve as support staff for Athletics Department
  • Will serve as back up support staff to the front desk when needed.
  • Provide guidance and support the work of Athletics student employees.
  • Serve on college committees and external committees as requested.
  • Assist faculty, students and others and make appropriate referrals as necessary.
  • Assist with all Athletics events and activities when needed; may include some evenings and weekends.
Qualifications You Possess

Minimum Qualifications:
  • Two years of experience at a level equivalent to Fiscal Specialist 1 AND 15 quarter hours or 10 semesters hours of college level accounting OR equivalent education/experience.
Preferred Qualifications:
  • Experience with reconciling statements and fiscal accounts.
  • Strong organizational skills, ability to work independently and prioritize multiple tasks, maintain confidentiality and accommodate numerous interruptions.
  • Position requires high degree of accuracy and attention to detail.
  • Excellent communication skills and the ability to work well with others and function as a team member.
  • Build and maintain positive relationships with faculty, staff, and students in a professional, courteous manner.
  • Advanced knowledge of computers and software applications, specifically MS Office suite: Word, Outlook, Excel, PowerPoint, and Access.
