Job DescriptionProgram & Lone Tree Hub Facility Coordinator(Full Time, Exempt)Application Closing Deadline: For best consideration, please submit your application materials by 4:00 p.m. July 8, 2024Hiring Range is $50,232 to $58,008.00 annually based on qualifications, education and experience as it relates to the position.Position SummaryUnder the supervision of the Arts & Enrichment Manager, this position is responsible for assisting with the overall supervision and management of the Lone Tree Hub customer service operations. This position is primarily responsible for leadership and guidance of the Customer Service Representatives who provide assistance to the day-to-day operations of front desk including facility rentals, set-ups, various drop-in facility activities, general admission and guest related incidents and issues for general facility use. The Program & Lone Tree Hub Facility Coordinator is responsible for programming the Active Adults Trips & Tours programs throughout the District.
Essential Duties
  • Provide general leadership and support of day-to-day operations to ensure a high level of customer service, general policy enforcement and support of facility happenings.
  • Develops and maintains positive and healthy relationships with Trips and Tours participants and the community by actively engaging with them and responding to their needs and interests.
  • Assists with the development, implementation, and tracking of a marketing strategy notifying the public of District Trips and Tour events.
  • Prepares the catalog of Trips and Tour classes, schedules tours and assigns drivers.
  • Organization and implementation of all trip and tour events.
  • Assist with hiring, training, directing, and inspecting work performed by staff and direct reports.
  • Review and approve direct reports bi-weekly timesheets. Work directly with Payroll Department to resolve any pay issues.
  • Develop competent and productive staff by planning, organizing and implementing a consistent employee training program, with a strong emphasis on safety, quality customer service, overall District knowledge and establishing customer loyalty.
  • Oversee and evaluate all aspects of general admission and point of sale for customer service operations.
  • Work cooperatively and maintain a high level of communication with various District divisions, such as facility maintenance, recreation programs, communications and registration to ensure successful operations and a positive customer experience.
  • Respond appropriately and quickly to customer feedback, conflicts and facility related emergencies. May include contacting appropriate repair vendors, performing first aid as trained, completing incident and accident reports, follow-up meetings, communicating to impacted customers/work groups and following up accordingly to district and state procedures in a timely manner. Response may be required outside of normal office hours.
  • Provide a high level of customer service and communication both internally and externally, including maintaining professional, timely and accurate communication through effective verbal and written methods. Also includes maintaining accurate print and online information.
  • Oversee drop-in facility activities such drop-in games, art studios and others as assigned. Including scheduling and thorough internal and external communication methods.
  • Assist with preparation and monitoring of budgets, managing revenues and expenditures to be accountable to budget goals. Including interpreting and generating various financial reports. May prepare purchase orders, RFPs, journal transfers, profit/loss reports, fee increase proposals and invoice requests., manages revenues and expenditures and prepares financial reports.
  • Implement strategies to maintain and increase usage of assigned areas. Including marketing, enhanced/improved services and other strategies.
  • Assist supervisor in developing and maintaining 5-year capital improvement plan, obtain bids and oversee successful and timely completion of approved projects within areas of supervision.
  • Utilize a variety of software systems for general admission, program registration, facility scheduling, information sharing, work orders and security monitoring.
  • Enforce high operation and risk management standards through combination of staff training, adequate procedures, enforcement and regular review.
  • Collaboratively work with Customer Service Representatives on accurately and effectively booking facility rentals including responding/approving inquiries and ensuring adequate scheduling/communication for the maintenance department, payment collection and an overall positive customer experience.
  • Develop and maintain relationships with District employees, vendors, and various outside user groups to coordinate their programs and special events.
  • Maintain records and generate reports as directed, including but not limited to weekly/monthly reports, facility usage reports, payroll documentation, incident/accident reports and personnel evaluations.
  • Perform as customer service staff as needed.
  • Attend or lead program, department, district and community meetings and trainings, as well as potentially serve on a variety of committees.
  • Assist with a variety of District and community-wide special events.
  • Attend and participate in professional group meetings; stay abreast of new trends and innovations in the field of recreational services.
  • Attend work on a regular, reliable and punctual basis.
  • Ensures proper handling cash reports, including reconciling cash drawers, completing cash reports on-time and maintain petty cash within accounting guidelines.

  • Associate's Degree in Recreation Management, Facility Management or other related field required.
  • Minimum of one (1) year experience in customer service including personnel supervision.
  • A combination of education and experience may be considered.
Licenses, Certifications, And Other Requirements
  • CPR, First Aid and AED certificates, or the ability to obtain upon hire.
  • Must possess a valid Colorado Driver License or the ability to obtain upon hire and maintain an acceptable driving record.
Necessary Knowledge, Skills And Abilities
  • Ability to establish strong leadership practices and philosophies and implement within the general practices of the Customer Service Team.
  • Ability to foster a cooperative and effective work environment within a diverse work atmosphere.
  • Ability to prioritize and organize workload of self and supervised staff.
  • Significant knowledge of customer service and general facility management practices and systems as it relates to recreation center operations.
  • Ability to research, gather, organize and analyze information.
  • Ability to navigate and troubleshoot personnel and public conflicts, as well as various emergency situations and respond in a timely manner.
  • Ability to effectively manage and prioritize situations and goals to maximize available resources and problem solving skills in order to analyze complex problems and implement appropriate corrective actions.
  • Must have excellent communication, customer service and problem solving skills.
  • Must be able to supervise, coach and evaluate numerous staff on customer service, safety, conflict resolution and problem solving.
  • Must have working knowledge of Microsoft Office software (including Excel, Word, Outlook and Publisher).
  • Must be willing to work a varied work schedule which may include some evenings, weekends and holidays.
  • Must have the ability to physically access recreation centers in all weather conditions.
  • Must be highly motivated and take direction well with excellent interpersonal and communication skills, both written and verbally.
  • Ability to work independently and with a team in a fast-paced and high volume environment with emphasis on accuracy and timeliness.
  • Ability to provide outstanding customer service and get along with coworkers, patrons, and supervisors and interact with employees and vendors in a professional manner.
Material And Equipment UsedTo successfully perform the required job duties, this position regularly uses a phone, computer, printer, fax and other office equipment. This position may need to drive a personal vehicle to various District facilities. This position may need to drive a multi passenger vehicle to destinations.
Working EnvironmentThis position requires work in a variety of settings including working indoors and outdoors subject to variable weather conditions, ecosystems, and landscape. Regularly works in busy recreation facility environment subject to continuous interruptions and loud background noises.
Physical RequirementsStand, walk, handle and operate objects and office equipment, reach outward and above shoulder and carry, pull, push or lift up to 15 lbs. May occasionally climb, crawl, squat, kneel and lift up to 30 lbs. The employee must be able to see close up and at a distance with vision acuity and the ability to adjust focus allowing a broad field of vision. The employee must communicate clearly and effectively, must understand and be understood.
