ASSISTANT OPERATIONS MANAGER/DATA COORDINATOR
Position Description
LOCATION: Office of Admissions
Central, SC
CLASSIFICATION: Regular, full-time, salaried
WORK SCHEDULE: University office hours are generally 8:00 am - 4:30 pm, Monday-Friday
REPORTS TO: Assistant Director of Admissions for Operations
GENERAL DESCRIPTION
The Assistant Operations Manager/Data Coordinator will ensure admissions data is entered and audited in adherence to the Southern Wesleyan University Data Standards. Due to the critical value of data, this position requires someone that is highly detail-oriented and possesses the ability to multi-task.
RESPONSIBILITIES
  • Scan and manage admissions documents within the document imaging system.
  • Process daily applications, making sure all required information is received
  • Update student records in both CRM and Jenzabar.
  • Process and mail acceptance packets to students
  • Sort and process incoming mail.
  • Input and maintain student data integrity of the student information systems.
  • Audit paper files and digital student records.
  • Upload lists of new student records into the database systems.
  • Consolidate records in CRM and Jenzabar when necessary.
  • Manage the processing and handling of monies for enrollment deposits.
  • Review and process student transcripts.
  • Welcome guests and campus visitors in the Office of Admissions.
  • Monitor and answer campus switchboard and transfer calls to appropriate departments and campus personnel.
  • Monitor Office of Admissions email accounts, forwarding to appropriate personnel in a timely manner.
  • Assist with visit days, registration events, and orientation events as assigned.
  • Provide oversight of work-study students and summer student employees.
  • Maintain strict adherence with NCAA Division II rules and regulations relating to the conduct and administration of the department.
Other duties as assigned.

QUALIFICATIONS
  • A high school diploma or GED equivalent is required; a bachelor’s degree or some college is preferred.
  • Three to Five years of previous work in an office environment, or an equivalent combination of education and experience.
  • SWU is committed to maximizing the use of technology in its daily operations and in achieving its strategic goals. A working knowledge of Microsoft Word and Excel is desirable.
  • Ability to identify problems and develop solutions.
  • Ability to get along well with the public, students, and co-workers.
  • Ability to communicate effectively, both orally and in writing, with various constituents both within and external to the university.
  • Desire to provide excellent customer service and to be a team player.
  • Ability to manage multiple projects with a high level of accuracy in a fast-paced environment with frequent interruptions and little supervision.
  • Ability to handle large volumes of work and accurately track many details simultaneously.
  • Demonstrated ability to handle information in a confidential and professional manner.
  • Must be flexible to switch duties, as needed, throughout the day and maintain high level of professionalism and attention to detail.

  • Physical/Environmental Requirements
  • Visual acuity necessary to do read and enter data accurately into a computer and to manage files. Ability to sit for periods of time in an interior office environment.
  • May require infrequent lifting objects up to 10 pounds, and occasionally items up to 20 pounds. This is a high-paced environment where the daily schedule fluctuates greatly.
  • The employee needs to be flexible depending on workload requirements within the regular work week.
  • Pre-employment Screening. Employment is contingent on the completion a background screening.
