Job SummaryThis role provides administrative support for the organization’s various departments in the corporate office. Duties include administrative tasks, mailroom operations, and project-based work.
Duties And Responsibilities
  • Provide full administrative support for various departments and mailroom operations.
  • Run and coordinate the day-to-day administrative duties of the organization.
  • Ability to juggle multiple priorities and competing demands easily and effectively.
  • Perform general office duties and finds way to improve administrative processes.
  • Create, format, and maintain forms and spreadsheets as needed.
  • Write and issue emails via Microsoft Outlook and update Teams channels and chats.
  • Manage mailroom inbox and mail/signature logs.
  • Process outgoing letters via Pitney Bowes folder/inserter and postage machine.
  • Utilize business size copiers and scanners.
  • JIRA Admin Helpdesk tickets to be completed as assigned.
  • Electronically fax to providers for ACO notifications, case closures, physician champion fax blasts.
  • Maintain various trackers such as, welcome letters, term letters, postage reports, etc.
  • Perform administrative work involving independent judgment, accuracy, and speed with minimal supervision.
  • Sort and open incoming mail and look up claims/members via EZCAP for identification.
  • Count, sort, and scan paper claims to vendor for processing.
  • Identify status of incoming appeals to sort and scan to the appeals team.
  • Complete all outgoing mail including overnight and priority mailings.
  • Mail checks, provider and member letters, and all other client correspondence.
  • Order office supplies, business cards, signature stamps for all offices.
  • Restock kitchen, supply cabinets, conference rooms.
  • Keep accurate sign in sheets for all visitors and guests.
  • Ability to work well in a team environment and with all levels of internal management and staff.
  • Maintain all necessary levels of member/patient privacy in accordance with HIPAA standards.
  • Perform all other duties as assigned.
Requirements
  • Associate degree or equivalent experience required.
  • Excellent organizational skills.
  • Demonstrate effective verbal and written communication skills.
  • Demonstrate analytic skills when problem solving.
  • Proficient in MS Office Applications and ability to learn department and job specific software systems.
  • Demonstrate high attention to detail and a high degree of accuracy.
